About the position

Join General Physician, P.C., one of Western New York's most esteemed multi-specialty medical groups, as a Patient Services Representative (PSR) in our Cardiology office located in Niagara Falls, NY. As a PSR, you will be the initial point of contact for patients and their families, performing essential administrative duties that help ensure efficient operations and patient flow. Your role will involve check-in and check-out processes, scheduling appointments, and providing exemplary customer service to enhance the patient experience. In this position, you will be responsible for verifying patient demographics and insurance eligibility, processing authorization forms, and collecting co-payments. You will also complete patient pre-registration by addressing any questions or concerns, reviewing financial responsibilities, and preparing charts according to the Quality Checklist. After appointments, you will check out patients, schedule follow-up appointments, and provide necessary paperwork while relaying important information to them. Your duties will also include answering phones, routing communications, and documenting patient interactions in the EMR system promptly. You will manage incoming mail and fax documents, process medical record requests, and handle referrals. At the end of the day, you will perform cash and credit card payment reconciliations and carry out general office duties such as document preparation, scanning, and filing. Maintaining a clean and welcoming patient waiting room and ensuring timely notifications regarding appointments will also be part of your responsibilities. You will be expected to uphold a safe and healthy work environment by adhering to established standards and procedures, while delivering exceptional customer service to create a positive experience for our patients.

Responsibilities

  • Serve as the initial point of contact with patients and family members through administrative duties such as check-in, check-out, and scheduling of appointments.
  • Verify patient demographics and insurance eligibility during check-in duties.
  • Process appropriate authorization forms and collect co-payments following specific service line protocols.
  • Complete patient pre-registration by verifying insurance eligibility and contacting patients with questions or concerns.
  • Review patient financial responsibility and prepare charts following the Quality Checklist.
  • Check out patients upon appointment completion, schedule follow-up appointments and procedures, and provide proper paperwork.
  • Relay necessary information to patients after their appointments.
  • Answer phones and route communication appropriately, scheduling appointments and documenting patient interactions in the EMR system in a timely manner.
  • Manage incoming mail and fax documents in accordance with company policy, and process medical record requests and referrals.
  • Perform end-of-day reconciliation of cash and credit card payments.
  • Carry out general office duties such as document preparation, scanning, and filing.
  • Maintain the cleanliness of the patient waiting room and ensure proper notification regarding the timeliness of appointments.
  • Establish and follow standards and procedures to maintain a safe, secure, and healthy work environment in accordance with internal and legal regulations.
  • Deliver exemplary customer service to provide a positive patient experience across the organization.
  • Perform other duties assigned by management.

Requirements

  • High school diploma required; two-year college degree preferred.
  • Proven work experience in a healthcare facility or strong customer service experience preferred.
  • Knowledge of insurance and medical terminology.
  • Strong written and verbal communication skills with the ability to utilize computer programs.
