About the position

Colvard-Kandavel Eye Center, a fast-paced ophthalmology practice located in Encino, CA, is seeking a friendly, detail-oriented, and organized individual to join our team as a full-time Medical Receptionist. This permanent position is essential to our operations, as it involves a variety of tasks that are crucial for maintaining the flow of our practice and ensuring that our patients receive outstanding customer service. The ideal candidate will possess excellent communication skills, both written and verbal, and will be comfortable interacting with patients and staff in a professional manner. As a Medical Receptionist, you will be responsible for answering and triaging incoming calls, verifying patient appointments, and responding to requests for patient records. You will also register new patients, update existing patient demographics, schedule appointments, and verify insurance benefits. It is important that you inform patients of their share of costs, collect outstanding balances, and document referral sources efficiently and accurately. You will be the first point of contact for our patients, so a positive and professional attitude is essential. In addition to these responsibilities, you will maintain patient confidentiality, cooperate with all departments, and ensure that all messages are clearly written and distributed promptly. You will also assist in keeping the waiting room neat and participate in safety and performance improvement programs as directed. This role requires a high level of organization, the ability to multi-task, and a commitment to providing excellent service to our patients. Responsibilities

  • Answer and triage incoming calls and patient requests accordingly.
  • Register new patients and update existing patient demographics.
  • Schedule patient appointments and inform patients of necessary copays, co-insurance fees, deductibles, and collect outstanding balances if any.
  • Remind patients of items to bring, including their referral, medications, eye drops, and eyewear.
  • Take messages and assure they are delivered to the appropriate team member and/or documented into the electronic health record.
  • Handle inquiries about accepted insurance, office hours, services, locations, exam fees, doctor information, etc.
  • Enter referral information into the computer system and prepare and mail letters.
  • Ensure that all messages are clearly written and distributed promptly and appropriately.
  • Maintain patient confidentiality at all times and cooperate and communicate with all departments.
  • Maintain complete and accurate records and greet/admit patients as needed.
  • Demonstrate ability to operate and maintain copy machine, postal meter, and keyboard.
  • Assist in keeping the waiting room neat and participate in safety and performance improvement programs as directed.
  • Give lunch and telephone relief for other staff and perform other duties as required.

Requirements

  • High school diploma or GED.
  • Prior experience in customer service or sales roles.
  • Strong interpersonal and communication skills, with the ability to engage and connect with customers of diverse backgrounds.
  • Excellent problem-solving abilities, coupled with the capacity to remain calm and composed under pressure.
  • Ability to operate computers and answer multi-line phone systems.
  • Demonstrated reliability, a pleasant attitude, and a willingness to perform the duties as required.

Nice-to-haves

  • Experience with Electronic Health Record (EHR) systems.
  • Prior call center experience.
