About the position

The Front Office Associate at Acuity Eye Group plays a crucial role in ensuring a smooth and welcoming experience for patients visiting the clinic. This position is responsible for greeting patients, checking them in and out, and collecting necessary insurance and personal information. The Front Office Associate is also tasked with answering phone calls, verifying appointments, and assisting in the maintenance of both electronic and paper patient files. The role requires a high level of organization and attention to detail, as well as the ability to communicate effectively with patients and staff alike. In addition to the check-in and check-out processes, the Front Office Associate will perform various administrative tasks such as verifying and updating patient demographics and insurance information in the Electronic Medical Records (EMR) system. This includes scanning and uploading important documents like driver's licenses and insurance cards, as well as submitting authorizations and creating tasks for patients. The role also involves contacting patients to confirm or update their appointments and ensuring that all patient information is accurately documented and filed. The Front Office Associate must maintain a professional and positive environment, preparing patients for treatment and assisting doctors as needed. This includes performing basic assessments such as Visual Acuity (VA) tests and intraocular pressure (IOP) tests, as well as administering medications as directed. The position requires strict compliance with various regulations, including HIPAA and OSHA, to ensure patient confidentiality and safety. Overall, the Front Office Associate is a vital part of the healthcare team, contributing to the overall patient experience and operational efficiency of the clinic.

Responsibilities

  • Welcoming, greeting, and checking in/out patients.
  • Collecting insurance and personal information from patients.
  • Answering phones and verifying patient appointments.
  • Assisting in filing and maintaining patient files, both electronic and paper.
  • Performing patient check-in process and updating demographics.
  • Verifying and updating insurance information in the EMR system.
  • Scanning and uploading driver's licenses and insurance cards.
  • Navigating and scheduling patients in the EMR system.
  • Submitting authorizations and creating tasks for patients.
  • Faxes/scans and creates referral letters to PCPs or referring doctors.
  • Contacting patients to confirm and/or update appointments.
  • Performing patient check-out procedures.
  • Collecting and documenting the patient's chief complaint.
  • Verifying patient's ocular and medical health history.
  • Documenting any medications patient is taking.
  • Performing basic Visual Acuity (VA) assessments.
  • Performing intraocular pressure (IOP) tests with a Tonopen unit.
  • Administering topical ophthalmic and dilation medications as directed.
  • Maintaining a clean and orderly waiting area.
  • Filing charts and ensuring accurate uploads into the EMR system.
  • Receiving supply deliveries and rerouting them to appropriate staff.
  • Maintaining compliance with State, Federal, and other regulations.

Requirements

  • High School education, GED or equivalent.
  • Valid driver's license and automobile insurance.
  • Ability to travel to other clinics as assigned.
  • Experience in the Ophthalmic or Optometric Industry (desirable).
  • Experience in a medical office and/or customer service (desirable).
  • Excellent communication and interpersonal skills (oral and written).
  • Proficiency in WORD, EXCEL, and standard office equipment usage.
  • Ability to respond to common inquiries from customers and staff.
  • Ability to interpret and apply policies and procedures.
  • Detail-oriented, organized, and self-motivated.
