About the position

This position is for a Medical Receptionist at a busy medical practice located in Southold, NY. As the first point of contact for patients, the Medical Receptionist plays a crucial role in ensuring a welcoming and efficient experience for all visitors. The primary responsibilities include performing essential receptionist duties such as answering, screening, and routing phone calls, taking appropriate messages, and ensuring their proper delivery. The Medical Receptionist must maintain a polite and courteous demeanor at all times, demonstrating excellent customer service skills. Additionally, the role requires the ability to triage phone calls effectively, determining the urgency of calls and notifying the physician or nurse as necessary. Upon patient arrival, the Medical Receptionist is responsible for greeting and registering each patient, verifying their demographics and insurance information in the Electronic Medical Record (EMR) system, and collecting any necessary co-payments. The receptionist will also notify the provider and staff of patients' arrivals and schedule appointments, services, or procedures as needed. Maintaining and preparing patient charts and the physician's schedule is also a critical part of the job. The Medical Receptionist may be required to open and close the office and must ensure compliance with HIPAA and OSHA guidelines at all times. This position is full-time and operates during the day shift, providing a stable work environment in a healthcare setting.

Responsibilities

  • Perform all necessary receptionist duties including answering, screening, and routing phone calls.
  • Take appropriate messages and ensure the proper delivery of those messages.
  • Greet and register each patient as they arrive.
  • Verify patient demographics and insurance information into the EMR.
  • Collect any necessary co-payments.
  • Notify the provider/staff of patients' arrival.
  • Schedule patient appointments and any services or procedures as needed.
  • Maintain/prepare patient charts and physician schedule.
  • Open and close office, if needed.
  • Ensure HIPAA & OSHA guidelines are followed at all times.

Requirements

  • Knowledge of Medical Terminology.
  • Understanding of various insurance plans and the need for authorization/referrals.
  • Computer and/or EMR experience.
  • At least one year of prior work experience in a medical office.
  • Excellent communication skills.
  • Ability to multi-task.
  • Attention to detail.
