About the position

As a Medical Receptionist at ConvenientMD, you will play a crucial role in the patient experience by being the first point of contact for patients and visitors at our clinics. Your primary responsibilities will include greeting patients warmly, completing patient registrations, updating patient records, collecting payments, and ensuring that all patients, whether they have appointments or walk-ins, are seen promptly. Handling insurance and billing inquiries will also be part of your duties, where you will provide clear and concise information to patients. Additionally, you will assist patients who may be ill or distressed, ensuring they receive the necessary support and resources. Your role will also involve collecting payments, including insurance co-pays and prescription charges, in accordance with clinic financial policies. You will proactively manage patient balances and ensure timely payments. Collaboration with the healthcare team is essential to maintain a seamless patient flow and efficient clinic operations, contributing to a positive environment for both patients and staff. You will manage patient reservations, assist in scheduling specialist referrals, and navigate multiple software systems to follow established protocols. As the front desk manager, you will answer and direct phone calls professionally, maintain an organized reception area, and perform various administrative duties such as photocopying and filing. Familiarity with the services offered at ConvenientMD and the associated costs will be necessary, as you will need to navigate various software systems for scheduling and electronic medical records. This position requires flexibility in working hours, including nights, weekends, and holidays, and may involve travel to other ConvenientMD locations for training shifts.

Responsibilities

  • Greet patients and visitors in a welcoming and professional manner.
  • Register patients efficiently, ensuring completion of all required forms with accurate information.
  • Handle insurance and billing inquiries, providing clear and concise information to patients.
  • Collect payments, insurance co-pays, and prescription charges following clinic financial policies.
  • Manage patient reservations (online and walk-in) and registration, optimizing patient satisfaction and provider schedules.
  • Collaborate with the healthcare team to ensure seamless patient flow and efficient clinic operations.
  • Assist in scheduling specialist referrals as needed for patient follow-up.
  • Answer and direct phone calls in a professional and timely manner.
  • Keep the reception area organized and tidy, creating a welcoming environment for patients.
  • Perform various administrative duties, including photocopying, filing, and maintaining daily activity logs.

Requirements

  • High School Diploma required.
  • Proactive and confident communicator (written and verbal).
  • Detail-oriented with excellent organizational skills.
  • Ability to juggle and prioritize multiple high-priority tasks in a fast-paced work environment.

  • Technically savvy: Proficient with Microsoft Office Suite or related software.

Nice-to-haves

  • Medical Receptionist Certification.
  • Previous experience in a medical receptionist role or similar customer service position.
  • Familiarity with medical terminology and basic knowledge of insurance processes.
  • Experience using electronic records data management software and other related programs used for medical registration and collection of HIPAA documentation.
  • Experience working with insurance billing and coding information.
