The Medical Receptionist at Holy Name Medical Center plays a crucial role in providing exceptional customer service and administrative support within both front and back office settings. Responsibilities

  • Answer phone calls and schedule patient appointments according to the physician's schedule.
  • Communicate messages accurately to the physician when they are not in the office.
  • Greet patients in a friendly and professional manner.
  • Obtain completed registration forms for new patients and update demographic profiles at each visit.
  • Collect payments for services rendered and past due balances at the time of appointment.
  • Process requests for patient medical records and information during office sessions.
  • Reschedule patient appointments as needed due to physician unavailability or delays.
  • Activate and deactivate phone service at the beginning and end of clinic sessions.
  • Review the physician on-call schedule with the phone service at the end of clinical hours.
  • Deliver messages to staff throughout the day.
  • Review and update patient insurance information.
  • Follow established protocols for necessary authorizations for managed care patients.
  • Obtain pre-authorization for various procedures as needed.
  • Distribute correspondence and patient information from medical records according to established policies.
  • Photocopy and process forms as required.
  • Open, date stamp, and distribute mail.
  • Pull medical records for diagnostic test results and attach mail for physician review.
  • Perform follow-up required by the physician when charts are returned.
  • Substitute for other office personnel as trained when requested.
  • Adhere to the Compliance Plan and perform any other assigned duties by the physician or manager.

Requirements

  • High School Diploma or equivalent experience.
  • 1+ years of experience in a medical office setting.
  • Strong knowledge of medical terminology.
  • High proficiency in customer service skills.
