About the position

The Dermatology Center of Indiana is seeking a dedicated and experienced Medical Receptionist to join our growing team in Zionsville, IN. This full-time position is essential to our multi-site dermatology group, where you will play a crucial role in ensuring smooth operations and excellent patient care. As a Medical Receptionist, you will be responsible for a variety of administrative tasks that support our dermatology and medical aesthetics services. Your day-to-day responsibilities will include answering phone calls, scheduling appointments, and managing patient records with precision and confidentiality. You will also validate patients' insurance coverage and make necessary pre-operative calls to surgery patients, ensuring that all authorizations and pre-certifications are in place for the following day. In addition to these core responsibilities, you will greet patients and their families upon arrival, maintaining a welcoming atmosphere in our center. You will handle financial transactions, including collecting co-pays and deductibles, and perform charge entry functions in collaboration with the Benefits Department. Your role will also involve maintaining the organization of the front office, ensuring that the work area and lobby are kept neat and orderly. You will be responsible for responding to requests for medical record information and maintaining the patient database, as well as performing transcription and data entry as needed. This position requires a high level of attention to detail and the ability to maintain confidentiality regarding all patient information. Responsibilities

  • Performs general administrative duties including answering telephone, keyboarding, filing, scanning, copying, and maintaining records.
  • Schedules appointments and procedures for patients.
  • Validates patients' insurance coverage and makes pre-op calls to surgery patients.
  • Checks authorizations and pre-certifications for the next day.
  • Makes confirmation calls regarding upcoming patient appointments and helps maintain a full patient schedule.
  • Greets patients and families upon arrival to the Center.
  • Maintains petty cash in conjunction with the Benefits Department.
  • Collects all co-pays, deductibles, and co-insurance as needed.
  • Performs charge entry functions in conjunction with the Benefits Department.
  • Completes all close of day activities and collects mail for organization.
  • Maintains work area and lobby in a neat and orderly manner.
  • Secures signature and/or documentation of authorization for invoice payment if needed.
  • Responds to requests for medical record information from patients, physician offices, and other outside sources.
  • Maintains patient database and performs transcription and data entry as needed.
  • Responsible for maintaining stock for front office and coffee room.
  • Maintains confidentiality of all patient information.

Requirements

  • High school diploma or GED is required.
  • 1 to 3 years of secretarial or general clerical experience preferred.
  • Familiarity with standard concepts, practices, and procedures within the secretarial field.
  • Ability to perform data input and computer operations effectively.
  • Strong verbal and written communication skills.
  • Basic math skills and knowledge of medical terminology are necessary.
  • Computer skills are a must, with experience in healthcare being desirable.
