About the position

The Medical Receptionist at the Derm Institute of Chicago plays a crucial role in ensuring a smooth and efficient operation of the clinic's front office. This position primarily involves working at our Chicago offices, with a willingness to travel to other locations as needed. The Medical Receptionist is responsible for greeting and assisting patients, scheduling appointments, and maintaining accurate records and accounts. This role requires a strong focus on customer service, as the receptionist will be the first point of contact for patients and visitors, both in person and over the phone. Key responsibilities include confirming insurance coverage, checking and obtaining referrals and prior authorizations, and optimizing patient satisfaction by effectively managing appointment schedules. The Medical Receptionist will also be tasked with keeping patient appointments on track by notifying providers of patient arrivals, reviewing service delivery against the schedule, and managing any delays. Comforting patients by addressing their anxieties and questions is also a vital part of this role, as is maintaining the reception area to ensure a welcoming environment. In addition to patient interaction, the Medical Receptionist will maintain patient accounts by recording and updating personal and financial information, collecting patient charges, and managing third-party claims. Inventory management for office supplies and equipment service scheduling are also part of the responsibilities. The role requires a proactive approach to patient care, including responding to emergencies and ensuring the confidentiality of sensitive information. The Medical Receptionist will also communicate with referring providers regarding patient visits and follow-ups, contributing to the overall team effort by achieving related results as needed.

Responsibilities

  • Greet and assist patients, scheduling appointments, and maintaining records and accounts.
  • Confirm insurance coverage, check/obtain referrals and/or prior authorizations.
  • Welcome patients and visitors in person or on the telephone, answering or referring inquiries.
  • Optimize patient satisfaction, provider time, and treatment room utilization by scheduling appointments.
  • Keep patient appointments on schedule by notifying provider of patient's arrival and reviewing service delivery compared to schedule.
  • Comfort patients by anticipating anxieties, answering questions, and maintaining the reception area.
  • Ensure availability of treatment information by filing and retrieving patient records.
  • Maintain patient accounts by obtaining, recording, and updating personal and financial information.
  • Obtain revenue by recording and updating financial information, recording and collecting patient charges, and filing third-party claims.
  • Maintain business office inventory and equipment by checking stock, placing orders, and scheduling service and repairs.
  • Help patients in distress by responding to emergencies.
  • Protect patients' rights by maintaining confidentiality of medical, personal, and financial information.
  • Maintain operations by following policies and procedures, reporting needed changes.
  • Communicate with referring providers regarding patient visits and follow up.
  • Contribute to team effort by accomplishing related results as needed.

Requirements

  • Bilingual proficiency is required.
  • Customer service experience is essential.
  • Medical office experience is preferred, with at least 2 years as a Medical Receptionist.
  • Proficiency in Microsoft Office is required.
  • High school diploma or GED is mandatory.
  • Knowledge of medical administrative support and medical terminology is necessary.
  • Strong time management skills are essential.

Nice-to-haves

  • University/college degree is an asset.
  • Familiarity with phone systems, fax systems, and electronic medical records is preferred.
  • Experience interacting with insurance companies regarding patient coverage is preferred.
  • Familiarity with obtaining prior authorizations from payers is preferred.
