About the position

The Medical Receptionist position at our client's busy practice in Lone Tree, Colorado, is a direct hire opportunity aimed at providing exceptional administrative support in a healthcare setting. The Medical Receptionist will be the first point of contact for patients, responsible for greeting them upon arrival and ensuring a smooth check-in process. This includes verifying and updating patient files, scanning insurance cards and identification into the electronic medical records (EMR) system, and managing appointment scheduling and rescheduling efficiently. The role requires handling confidential patient information with the utmost care and professionalism, as well as processing payments, including pre-payments and collections on past-due balances. In addition to these responsibilities, the Medical Receptionist will conduct daily audits of superbills and provide necessary payment documentation to the business office. Answering phone calls and maintaining timely patient flow are critical aspects of the role, as is ensuring that all necessary testing is ordered and documented in the EMR prior to patient appointments. The Medical Receptionist will also be responsible for making confirmation calls to patients at least 24 hours before their appointments, completing schedule requests from doctors and nurses within a 24-hour timeframe, and having a solid understanding of insurance contracts to assist patients with payment inquiries. The position also involves mailing out patient information and educational materials as needed, scanning documents into the EMR, and preparing the waiting areas for each workday. The Medical Receptionist will open the building at the designated time, ensuring that all computers at the front desk are ready for patient arrival, and will secure the building at the end of the day by locking all entrances. Participation in staff meetings and training sessions is expected, with accountability for the information shared during these meetings.

Responsibilities

  • Greet each patient upon arrival and check them in.
  • Ensure each patient's file is up to date and scan insurance cards and picture ID into the EMR.
  • Responsible for appointment scheduling and rescheduling.
  • Handle confidential information and patient medical record information.
  • Take payments, pre-payments, and collect on past-due balances.
  • Daily auditing of superbills and providing payment documentation to the business office.
  • Answer phone calls and maintain timely patient flow.
  • Check that testing is ordered and information is in the EMR prior to provider appointments.
  • Make daily confirmation calls to each patient at least 24 hours prior to their appointment.
  • Complete schedule requests sent by doctors and nurses within a 24-hour period.
  • Know insurance contracts and apply them to collect payments from patients and answer basic insurance questions.
  • Offer discount programs and mail out patient information and education materials when needed.
  • Scan documents into the EMR as requested.
  • Assure the readiness of the waiting areas for each workday.
  • Open the building at the designated time and prepare computers at the front desk prior to patient arrival.
  • Secure the building at the close of each workday by locking all entrances.
  • Participate in staff meetings and other in-services or training.

Requirements

  • High school diploma required.
  • Associate's degree/Bachelor's degree preferred or equivalent experience.
  • Minimum 1 year of customer service experience required.
  • Previous medical receptionist experience preferred, not required.
  • Must be vaccinated or have an exemption.
  • Strong computer skills and ability to use basic office equipment.
  • Strong ability to follow procedures is essential.
  • Must be organized with a strong ability to multi-task and prioritize.
  • Strong attention to detail and ability to utilize time efficiently.
  • Excellent customer service skills.
  • Maintain strict confidentiality for all patient and clinic information.

Nice-to-haves
