Super Talkers, PLLC is seeking a personable and organized professional for the role of Medical Receptionist. This part-time position, with the potential for full-time as the business grows, is crucial for the daily operations of our pediatric therapy clinic. The ideal candidate will be proactive, detail-oriented, and capable of juggling multiple priorities in a fast-paced environment. As the front desk coordinator, you will be the first point of contact for clients and their families, ensuring they feel welcomed and supported. Your role will involve managing appointments, answering calls, and maintaining accurate client records, all while embodying our core values of being impactful, reassuring, and diligent. In this position, you will be responsible for welcoming clients and parents in a courteous and professional manner, answering questions, and resolving issues efficiently. You will handle appointment scheduling, ensuring that all demographic and insurance information is accurate. Additionally, you will optimize provider schedules to enhance patient satisfaction and retrieve and update client records in our electronic medical records (EMR) system. Your attention to detail will be essential in verifying billing data, coordinating insurance verification, and collecting payments during client visits. You will also assist with administrative tasks, maintain office inventory, and perform light cleaning duties as needed. Responsibilities

  • Welcome clients and parents in a courteous and professional manner.
  • Quickly answer or properly refer questions and issues.
  • Answer calls, arrange appointments, and register clients, ensuring that all demographic information is accurate, including insurance information.
  • Optimize provider schedules and patient satisfaction with efficient scheduling.
  • Ensure availability of treatment information by retrieving and updating client records in EMR.
  • Verify accuracy of billing data and resolve any discrepancies.
  • Coordinate insurance verification before client's first visit.
  • Perform pre-certification with insurance companies as needed.
  • Collect payments at each client visit.
  • Send client invoices as needed.
  • Troubleshoot insurance denials in a timely manner.
  • Maintain office inventory and equipment by anticipating supply needs and fulfilling supply orders.
  • Create and complete spreadsheets to track client and scheduling data.
  • Provide administrative assistance to supervisors.
  • Obtain signatures from clients on annual forms.
  • Laminate therapy materials as needed.
  • Perform light cleaning and other duties as assigned.

Requirements

  • Experience in a medical office setting.
