About the position

The Patient Reception Specialist at VillageMD plays a crucial role in ensuring a positive patient experience at our clinic located at 8810 Antoine Dr, Houston, TX 77088. This full-time position is designed for individuals who are passionate about providing exceptional patient support and communication. The specialist is responsible for welcoming patients, preparing them for their appointments, and ensuring they have all the necessary information for their visit. This role is pivotal in building trust and satisfaction among patients, which in turn drives organizational loyalty. In this position, you will be accountable for obtaining and managing essential documentation such as insurance cards, driver's licenses, authorizations, and referrals. You will also perform demographic and insurance validation, ensuring that patients are informed about privacy policies and procedures. Maintaining a clean and organized reception and waiting area is also part of your responsibilities, as it contributes to a welcoming environment for patients. Effective communication is key in this role. You will greet all patients and visitors in a professional manner and communicate any unexpected schedule delays, assisting patients to ensure their comfort during such times. Additionally, you will be responsible for collecting patient co-payments, reconciling charges, and submitting daily batches, all while adhering to established policies and procedures. Your ability to navigate medical terminology and insurance practices will be essential in this role, as will your proficiency in using computer programs and applications, including EMR systems. The ideal candidate will have a high school diploma or equivalent, with a preference for experience in primary care, family practice, internal medicine, urgent care, or emergency room settings. A current BLS certification for healthcare providers is preferred, along with a solid understanding of CPT and ICD-10 coding. This position requires a commitment to providing excellent customer service and a willingness to work in a fast-paced clinic environment.

Responsibilities

  • Welcome and prepare patients for their appointments.
  • Inform patients of relevant and required information for their visit.
  • Obtain copies of insurance cards, driver's licenses, authorizations, referrals, and other required appointment documentation.
  • Perform demographic and insurance validation and inform patients of privacy policies and procedures.
  • Keep the reception and patient waiting areas clean and organized.
  • Greet all patients and visitors in a professional and welcoming manner.
  • Effectively communicate unexpected schedule delays to patients and assist with patient comfort during delays.
  • Collect patient co-payments, reconciliation charges, and outstanding balances upon Check-In.
  • Schedule patient appointments and follow-up appointments per established policies and procedures.

Requirements

  • High School Diploma or equivalent required.
  • Current BLS certification for healthcare providers preferred.
  • Experience in primary care, family practice, internal medicine, urgent care, or ER preferred.
  • Adept in medical terminology and insurance practices.
  • Proficient in the use of computer programs and applications including Outlook applications and practice EMR systems.
  • Competent in basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
  • Knowledgeable of CPT and ICD-10 coding.

Nice-to-haves

  • 1 year of customer service experience preferred.
  • 1 year of medical terminology experience preferred.
  • 1 year of computer skills experience preferred.
