About the position

The Medical Receptionist serves as the first point of contact for external customers in the office and on the phone, acting as a liaison between patients and medical staff. This role is crucial in ensuring that patients receive the necessary services and information efficiently. The Medical Receptionist greets and assists customers, obtains and communicates essential patient information to billing staff, and facilitates a smooth patient flow through the office. Responsibilities may vary, with some receptionists focusing on specific populations, such as refugee patients, or working on digital campaigns. In addition to greeting patients and verifying insurance eligibility, the Medical Receptionist prepares charts for visits, collects payments, and ensures that charges are accurately posted to the billing system. They are responsible for answering phones according to established etiquette, scheduling and confirming appointments, and managing patient paperwork. The role also involves maintaining a neat work area and waiting room, supporting other offices, and attending meetings and training as required. For those working with refugee populations, additional responsibilities include providing intake services, coordinating translation services, and ensuring effective communication with service coordinators and providers. Receptionists involved in digital campaigns will follow up on applications and assist with patient enrollment in seminars. Overall, the Medical Receptionist must create a positive, professional, and service-oriented environment while adhering to organizational standards and maintaining patient confidentiality.

Responsibilities

  • Greet all individuals arriving at the office courteously and ensure their needs are met.
  • Obtain necessary patient registration information and verify patient insurance eligibility.
  • Prepare charts for visits in accordance with IHA protocols and notify clinical staff of patient's arrival.
  • Accurately complete patient forms, collect payments, and ensure charges are posted to the billing system.
  • Retrieve and file EMR/paper charts and miscellaneous reports.
  • Answer telephone calls in accordance with IHA telephone etiquette guidelines, taking and relaying messages in a timely manner.
  • Schedule and confirm appointments based on office protocols and assist with rescheduling clinics.
  • Communicate with leadership when overbooks are not approved and send out necessary New Patient paperwork.
  • Work the daily Work Queue (WQ) and oversee daily payment and charge posting balancing.
  • Monitor, organize, and keep work area and waiting room neat.
  • Support other offices, attend meetings and training as assigned, and perform other duties as needed.

Requirements

  • High School Diploma or GED required; coursework in insurance/billing or medical practice education preferred.
  • 1-2 years of experience in a medical or physician office or customer service environment preferred.
  • Understanding of verification of insurances and medical terminology.
  • Excellent written, verbal, and face-to-face communication skills, including proper phone etiquette.
  • Proficient in operating a standard desktop and Windows-based computer system, including electronic medical records and Microsoft Office applications.
  • Ability to compute mathematical calculations and handle patient information confidentially.
  • Good organizational and time management skills to effectively juggle multiple priorities.
