Requirements

  • Three years of experience in clinical documentation.
  • Excellent customer service skills via Phone, Email, and In-Person.
  • Strong written and verbal communication and organizational skills.
  • Ability to work in a fast-paced environment and handle multiple tasks with interruptions.
  • Ability to work with diverse populations (patients, staff, physicians).
  • Demonstrated ability to maintain composure in difficult situations and respond professionally.
  • Strong bilingual English/Spanish conversational skills including medical terminology.

Nice To Haves

  • Knowledge of documentation concepts, guidelines, and clinical terminology.
  • Knowledge of anatomy and physiology, pathophysiology, and pharmacology to interpret and analyze patient health records.
  • Ability to collect and analyze data and present results in various formats.

Responsibilities

  • Preparing patient charts and gathering information and documents from patients.
  • Ensuring that the medical records are organized, accurate, and complete.
  • Filing the paperwork and reports of patients quickly and accurately.
  • Safeguarding patient records and ensuring compliance with HIPAA standards.
  • Transferring data into the EMR.
  • Keeping healthcare providers informed by communicating the availability of requested records.
  • Handling patient and department complaints for resolution.
  • Maintaining regular attendance and punctuality to provide quality service to patients.
  • Processing and scheduling tests ordered by the providers.
  • Working with medical facilities and outside providers to schedule tests and consultations.
  • Direct patient communication for coordination of tests or consults.
  • Obtaining reports from different hospitals and doctor's offices.
  • Reviewing health record documentation.
  • Obtaining records as tasked in EMR system to expedite patient processing.
  • Scanning reports in patient charts promptly and accurately.
  • Updating doctor's schedules and scheduling appointments if needed.
  • Calling patients if testing is not done.
  • Sending tasks to providers if the patient is unable to do the test ordered.
  • Logging into various external portals to obtain required information.
  • Coordinating and scheduling testing and appointments as designated by physicians.
  • Booking appointments based on physician volume maintaining appropriate standard turn-around times.
  • Sending for insurance authorization.
  • Entering appointment information into the EMR system.
  • Interacting with patients, physicians, and other staff providing accurate, timely, and responsive information.
  • Ensuring efficient telephone communication.
  • Documenting work processes as required.
  • Following all written protocols and procedures of the office.
  • Calling patients and advising them of their appointment date/time.
  • Rescheduling testing appointments.
  • Creating a testing order in EHR and mailing the order to the patient.
  • Scheduling a follow-up visit with the MD if indicated.
  • Using a variety of computer applications in day-to-day activities.
