About the position

The Medical Records Clerk plays a crucial role in supporting medical and behavioral health care services by managing and maintaining medical records with professionalism and integrity. This position involves various clerical duties, including retrieving and filing medical charts, ensuring the completeness of records, and assisting healthcare staff with information requests.

Responsibilities

  • Retrieve medical charts for all healthcare staff as requested
  • File daily all currently used medical records
  • Ensure charts are counter-signed by physicians and check for completeness
  • Release information at the direction of the Sheriff, Site Nursing Supervisor, or Site Physician
  • Secure all active and inactive medical records
  • Answer telephone calls, take messages, and make calls
  • Type letters, reports, and memorandums
  • Schedule off-site appointments as requested by practitioner/nursing staff
  • Maintain a roster or appointment book based on scheduled appointments
  • Order, receive, and maintain medical or office supplies
  • Adhere to safety and security policies and participate in disaster drills
  • Ensure confidentiality of all medical records information
  • Perform all clerical duties related to assembling and maintaining medical records
  • Maintain accountability for the location of any medical record on file
  • Log in and out all record jackets received or sent out
  • Pull records and deliver for clinical use, re-file records upon completion of use
  • Assist with tracking of statistical data for CQI reports
  • Complete reports and perform other duties as assigned by the Health Services Administrator/Site Manager
  • Notify supervisor and complete report for incidents or accidents
  • Perform any and all other duties as assigned

Requirements

  • High school diploma or GED
  • At least two years of specialized experience and/or training in keeping medical records
  • Basic Life Support (BLS) certification; hands-on training
  • Ability to work with people and work under pressure
