About the position

At Hackensack Meridian Health, our Medical Records Clerk plays a crucial role in maintaining the integrity and accuracy of clinical records. This position is essential for ensuring that patient information is processed and completed in a timely manner. The Medical Records Clerk is responsible for a variety of clerical tasks that support the overall operations of the healthcare facility. This includes maintaining patient records, providing clerical and phone support, and ensuring that all documents are filed accurately and regularly. The role requires a keen attention to detail, as the clerk will audit patient discharge charts and follow up to provide any missing data consistently. In addition to record maintenance, the Medical Records Clerk will photocopy materials, correspondence, and reports as requested, and will be responsible for making and distributing client records. Ordering patient supplies in a timely manner is also part of the job, along with maintaining a neat and clean supply room and ensuring proper inventories are kept. The clerk will log faxes in the appropriate lab book, verify that lab reports are received, and fax blood work and labs daily, ensuring that log books are accurate and complete. Customer service is a key component of this role, as the Medical Records Clerk will answer phones courteously, take accurate messages, and assist visitors, patients, and staff by directing them to the appropriate locations. The clerk will also assist the Medical Records Coordinator in maintaining employee files, ensuring that all filing and scanning is up to date and completed in a timely manner. Flexibility is important, as the clerk may be assigned other duties or projects as needed, and adherence to organizational competencies and standards of behavior is expected. The role also involves some physical demands, including lifting, pushing, and pulling a minimum of 10 lbs., and standing for a minimum of 4 hours a day.

Responsibilities

  • Maintain clinical records and assure timely and accurately processing and completion of records.
  • Provide clerical and phone support.
  • Maintain patient records.
  • Assure documents are filed accurately and on a regular basis.
  • Audit patient discharge charts thoroughly and follow up to provide missing data on a consistent basis.
  • Photocopy materials, correspondence and/or reports as requested.
  • Make and distribute client records.
  • Order patient supplies in a timely manner.
  • Assure that supply room is neat and clean, and proper inventories are maintained.
  • Responsible for ordering materials and maintaining SOC packets necessary for admissions.
  • Log faxes in appropriate lab book and verify that lab report is received.
  • Fax blood work / labs on a daily basis and assure log books are accurate and complete.
  • Answer phone in a courteous manner.
  • Take accurate and complete phone messages and relay to the appropriate party.
  • Provide assistance, guidance and/or direction to visitors, patients and staff.
  • Ascertain the nature of their business; assist and/or direct visitors and patients to the appropriate location.
  • Assist Medical Records Coordinator in the maintenance of employee files.
  • Ensure all employee filing/scanning is up to date and timely.
  • Demonstrate flexibility with job responsibilities in all areas.

Requirements

  • High School diploma or GED.
  • Good computer skills.
  • Organizational skills.
