Medical Records Specialist

About the position

The Medical Records Specialist at HCA Houston Healthcare Clear Lake plays a crucial role in managing patient health information and ensuring the accuracy and completeness of medical records. This position involves retrieving, processing, and archiving medical records, as well as assisting with the management of workflow queues and physician suspensions. The specialist serves as a key point of contact in the absence of the HIM Director or Coordinator, contributing to the overall efficiency of the health information management department.

Responsibilities

• Retrieve discharged medical records from various departments and reconcile them to ensure all records are accounted for.
• Facilitate the retrieval and printing of medical records from storage, and manage the archival and retention of documents that cannot be scanned.
• Assist with the physician suspension process by evaluating and recommending suspensions, sending notice letters, and making reminder calls.
• Prepare medical records and loose documents for scanning and index medical record documentation.
• Perform quality control validation to ensure all documents associated with each record have been scanned accurately.
• Complete any required certification programs and continuing education for birth certificate processing.
• Interact with parents to collect and document birth information and provide guidance in completing necessary forms.

Requirements

• High school diploma or GED preferred.
• Previous experience in handling patient health information and medical records document imaging is strongly preferred.
• Hospital or medical office experience preferred, but not required.
• Completion of a certification program from the state(s) may be required for birth certificate processing.

Nice-to-haves

• Experience with Horizon Patient Folder (HPF) and McKesson Patient Folder (MPF) systems.
• Familiarity with 3M 360 Encompass worklists.
• Knowledge of medical record documentation standards.
