About the position

The Medical Records Specialist plays a crucial role in overseeing the daily operations of the medical records department, ensuring the proper management, confidentiality, and distribution of medical records. This position requires a proactive individual who can handle various tasks related to medical records while maintaining high standards of productivity and quality.

Responsibilities

  • Assist with maintaining the Nashville office supply storage room and breakrooms.
  • Assist with a variety of projects and perform other duties as assigned.
  • Coordinate chart audit requests from insurance companies, managing up to 1,000 charts at a time.
  • Manage incoming mail distribution.
  • Manage and coordinate off-site chart storage activities.
  • Ensure the proper preparation, documentation, storage, and distribution of medical records.
  • Ensure the confidentiality of medical records.
  • Follow corporate policies regarding copying and dissemination of medical records.
  • Notate new Sarah Cannon patient visits and scan documents in MDI.
  • Order and maintain office magazines for patient waiting rooms.
  • Oversee and distribute all incoming faxes.
  • Process medical records release requests from patients and doctor's offices according to office protocol.
  • Research obituaries, notate in all lines of business applications, and mail sympathy cards to deceased patients' families.
  • Scan appropriate patient correspondence from doctors and/or hospitals according to office protocol.
  • Scan physician operative note documentation and requests & corrections of surgical op notes.

Requirements

  • High School graduate or equivalent.
  • Ability to meet average expectations for productivity and quality standards.
  • Proficient in understanding, reading, and interpreting all contents of paper and electronic medical charts (ERM) and in medical terminology.
  • Knowledge of Microsoft Office (Word, Excel, Outlook) and ability to learn and adapt quickly to new software.
  • Effective verbal and written communication skills with patients, physicians, management, and employees.
  • Excellent organizational skills, ability to multi-task, and logical thinking.
  • Ability to be proactive, take initiative, and perform well in a fast-paced, high-volume practice.
  • Maintains strict confidentiality regarding protected health information (PHI) and understands and adheres to HIPAA privacy and security policies.
