About the position

Washington Gastroenterology is seeking a Full-time Medical Records Specialist to support practice operations by ensuring the accuracy and completeness of patient medical records and clinical data. This role primarily works remotely, providing essential support to patients, clinics, and endoscopy centers in Washington State.

Responsibilities

  • Accurately file private health information into patient medical records within the Electronic Medical Records (EMR) system.
  • Examine and confirm the authenticity and completeness of all records.
  • Perform clerical functions including chart maintenance and processing incoming correspondence.
  • Retrieve archived records electronically from off-site storage as needed.
  • Respond to requests for patient records from referring providers, billing, or outside agencies.
  • Confirm HIPAA authorization to disclose records.
  • Request medical records from referring providers and retrieve records electronically from hospitals, diagnostic services, or clinics.
  • Track hospital procedure reports and charges.
  • Assist the clinical staff in all aspects of medical record recording and access.
  • Prepare charts for upcoming visits as needed.
  • Track and close patient medical orders.
  • Other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Knowledge of medical terminology preferred.
  • Minimum of one (1) year experience in a medical setting with experience in medical records.
  • Minimum of one (1) year experience in a customer-service environment or administrative role.
  • Strong written and verbal communication skills.
  • Strong analytical and problem-solving skills.
  • Ability to maintain confidentiality of personal information.
  • Ability to work independently with minimal supervision as well as with other team members.
  • Ability to prioritize tasks with good time management and organization.

Nice-to-haves

  • Experience with health management information software.
  • Proficiency in Microsoft Office programs.
