About the position

ProHealth Physicians, part of OptumCare, is seeking a friendly, patient-focused, and detail-oriented Medical Referral Coordinator to join our team. This full-time position offers a hybrid work schedule, allowing you to work from home two days a week while also providing the opportunity to float to local practices in the region for coverage. The role is based at our Farmington, CT location and involves a variety of responsibilities aimed at ensuring a smooth patient experience. As a Medical Referral Coordinator, you will be the first point of contact for patients, answering incoming calls in a professional manner to determine their needs and processing requests appropriately. You will be responsible for scheduling and rescheduling appointments, registering patients accurately, and ensuring that all necessary information is collected and entered into our systems. In addition to managing patient appointments, you will also review daily schedules for accuracy, handle non-appointment patient care calls, and task messages to the appropriate clinical personnel. Your role will require you to consistently exhibit behavior and communication skills that demonstrate our commitment to superior customer service. You will also be cross-trained to cover front office duties when needed and perform other job-related tasks as directed by your supervisor or manager. Responsibilities

  • Answer incoming calls in a customer-friendly and professional manner to determine the purpose and request of the call and process appropriately.
  • Meet department metric expectations for answering and processing calls.
  • Schedule and reschedule appointments for patients according to established protocols and templates.
  • Obtain appropriate and accurate data based upon the reason/diagnosis/chief complaint given by the patient.
  • Register patients accurately by gathering basic demographic and insurance information.
  • Update patient information as needed.
  • Inform patients to be prepared to pay any copay or down payment due at the time of service and communicate any instructions needed prior to their appointment.
  • Review daily schedule for accuracy and completeness.
  • Answer non-appointment patient care calls.
  • Task messages to the appropriate clinical person to be worked/processed and completed.
  • Ensure all necessary information is entered into Allscripts including any patient portal requests.
  • Complete daily task bucket duties in accordance with scheduling guidelines and assist other teammates as needed with tasking duties as requested/assigned.
  • Exhibit behavior and communication skills that demonstrate the company's commitment to superior customer service, including quality care and concern with internal and external customers.
  • Cross-train to cover front office when needed.
  • Perform all other job duties as directed by the supervisor or manager.

Requirements

  • High School Diploma/GED (or higher)
  • 1+ year of receptionist experience
  • Intermediate level of proficiency in Microsoft Office
  • Ability to travel 10% within a designated area to cover other practices if needed
  • Dedicated home work space with WiFi.

Nice-to-haves

  • Experience as a receptionist in a healthcare setting
  • Experience working with an electronic health record or EPIC.
