This role requires a keen attention to detail and the ability to manage multiple tasks efficiently. In addition to scheduling, the Medical Secretary enters inpatient and outpatient professional charges into the medical billing system, ensuring accurate and timely billing processes. The position also involves composing and preparing correspondence, which requires a solid understanding of medical terminology to transcribe patient information accurately from various sources, including written documents, electronic equipment, or verbal instructions. The Medical Secretary is tasked with filing reports, preparing documents, and forwarding correspondence as needed, which contributes to the smooth operation of the department. Another key responsibility is to prioritize calls through a screening process, transferring calls, recording messages, and delivering them to the appropriate personnel. The Medical Secretary reviews, screens, and distributes daily mail correspondence, ensuring that important communications reach the right individuals promptly. Additionally, the role includes ordering office supplies and maintaining inventory, which is vital for the department's functionality. The Medical Secretary also maintains up-to-date departmental manuals and files, assists in the coordination of special projects, and adheres to the standards identified in the Medical Center's Organizational Competencies. Responsibilities

  • Schedules appointments, meetings or conferences for departmental personnel utilizing interdepartmental and/or hospital wide computerized scheduling systems.
  • Enters inpatient and outpatient profession charges on medical billing system.
  • Composes and prepares correspondences.
  • Uses knowledge of medical terminology to transcribe patient information from written copy, electronic equipment or verbal direction.
  • Files reports, prepares documents, and forwards correspondence.
  • Prioritizes call through screening process; transfer calls, records messages and delivers to appropriate personnel.
  • Reviews, screens and distributes daily mail correspondence to appropriate personnel.
  • Orders office supplies and maintains inventory.
  • Maintains up-to-date departmental manuals and files.

Requirements

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Knowledge of medical terminology.

Nice-to-haves

  • Associate's degree.
