About the position

At University of Maryland Upper Chesapeake Health (UM UCH), we are seeking dedicated Medical Secretaries to join our team. This role is essential in providing high-quality care to our patients and the community of Harford County. As a Medical Secretary, you will be responsible for a variety of administrative tasks that support the smooth operation of our medical office. Your primary duties will include answering telephone calls, handling routine inquiries, and referring non-routine matters to the appropriate personnel. You will also be tasked with obtaining, completing, and following up on all necessary paperwork in an accurate and timely manner, ensuring that all documentation is properly scanned into patient records. In this position, you will schedule patient appointments and tests, coordinating with appropriate personnel as necessary. You will assist the team in preparing for patient visits and processing post-visit documentation, ensuring that all necessary forms, such as Consent to Treat and HIPAA forms, are completed. Maintaining electronic patient charts and organizing the necessary information, reports, records, charts, and correspondence before patient appointments will also be part of your responsibilities. Additionally, you will obtain necessary registration information from patients, including co-pays and referral forms, to forward to billing. Responsibilities

  • Answer telephone calls and handle routine inquiries, referring non-routine matters to appropriate personnel.
  • Obtain, complete, and follow up on all necessary paperwork in an accurate and timely manner.
  • Maintain records and ensure documentation is scanned into patient records.
  • Schedule patient appointments and tests, coordinating with appropriate personnel as necessary.
  • Schedule return visit appointments as appropriate, assuring smooth functioning.
  • Assist team with all facets of preparing for patient visits or processing post-visit documentation.
  • Ensure completion of Consent to Treat, HIPAA, and other forms as appropriate.
  • Maintain electronic patient charts.
  • Organize and prepare the necessary information, reports, records, charts, and correspondence before the patient arrives for appointment.
  • Obtain necessary registration information on patients, co-pays, necessary referral forms, and authorizations to forward to billing.

Requirements

  • A high school diploma or equivalent is required.
  • Must have either one (1) year of previous customer service experience or completed an accredited or approved Administrative Assistant program within the last 12 months.
  • Previous healthcare or medical office experience is preferred.
