The Medical Secretary position at Care New England Medical Group is crucial for ensuring the smooth and efficient operation of the Medical Office. This role encompasses a variety of clerical and secretarial tasks that support the medical staff and enhance patient care. The Medical Secretary serves as the primary link between patients and the practice, facilitating communication and ensuring that all administrative processes run seamlessly. This includes managing incoming and outgoing correspondence, maintaining departmental manuals, and assisting with clinician scheduling. The position also involves maintaining filing systems and acting as a liaison between the practice and outside support services, which is essential for effective patient management and operational efficiency. In this role, the Medical Secretary will provide essential secretarial support, which includes typing, filing, faxing, and maintaining office equipment. The individual will coordinate schedules with professional staff, register patients, verify insurance coverage, and manage referrals. Additionally, the Medical Secretary will handle incoming telephone calls, screen them appropriately, and set up meetings as necessary. The position requires opening and routing incoming mail, distributing correspondence, and maintaining departmental tracking systems and reports. The Medical Secretary will also be responsible for maintaining treatment rooms and clinical equipment, managing clinical inventory, and ordering supplies as needed. Collecting co-payments and other payments, preparing patients' medical records according to provider specifications, and conducting patient registration and billing in applicable systems are also key responsibilities. The role may involve performing other related duties as assigned, making it a dynamic position within the healthcare setting.

Responsibilities

  • Provide secretarial support such as typing, filing, faxing, and maintaining office equipment.
  • Coordinate schedules with professional staff and schedule appointments.
  • Register patients, verifying insurance coverage and appropriate referrals, and answer telephone calls, directing them appropriately.
  • Screen incoming telephone calls, handle calls appropriately, and set up meetings.
  • Open and route incoming mail; distribute correspondence and other material to department staff.
  • Maintain departmental tracking systems, PI plan, and other cumulative reports as necessary.
  • Maintain treatment rooms and clinical equipment; maintain clinical inventory and order supplies as needed.
  • Collect co-payments, fee for service, and other payments as required.
  • Prepare patients' medical records according to provider specifications.
  • Work directly with physician offices to maintain a supply of forms for records.
  • Conduct patient registration and patient billing in applicable systems.
  • Perform all other related duties as assigned.

Requirements

  • Vocational/technical training.
  • Medical terminology required.
  • One year job-related experience or equivalent is required.
  • Strong interpersonal, verbal and written communication skills required.
  • Knowledge of computers and word processing applications required.
  • Strong Medical Secretary background.
  • Ability to format, proofread letters and possess good communication skills.
