About the position

The Medical Secretary/Receptionist plays a crucial role in the front desk operations of a growing Urology and Female Pelvic Health practice. This position is responsible for providing excellent customer service to patients and managing the scheduling and administrative tasks associated with patient care. The ideal candidate will be energetic and enthusiastic, contributing to a positive experience for both staff and patients.

Responsibilities

  • Greet callers and in-office patients warmly and provide courteous service.
  • Serve as the first point of contact for patients at the practice.
  • Handle calls and in-person interactions with sound judgment, especially regarding sensitive medical information.
  • Answer calls within three to four rings.
  • Schedule patients and check them in, ensuring accurate demographic and insurance information is recorded.
  • Confirm, cancel, reschedule, and update patient appointments as requested.
  • Utilize the EMR system (eClinicalWorks) to match physician availability with patient needs.
  • Maintain and update scheduling systems to ensure accurate patient records.
  • Communicate with providers and staff about patient concerns or issues.
  • Consult with the office manager regarding system problems.
  • Complete requests from other medical offices, including faxing patient records.
  • Address patient concerns efficiently and effectively.
  • Perform other clerical duties as assigned by the office manager.

Requirements

  • High school diploma or GED (required).
  • Two to three years of medical office experience (required).
  • Previous experience in a fast-paced, high patient volume doctor's office (preferred).
  • Knowledge of medical practice protocols related to scheduling and patient demographics.
  • Familiarity with EMR medical systems and medical terminology.
  • Excellent organizational and time management skills.
  • Strong interpersonal and problem-solving skills.

Nice-to-haves

  • Associates or Bachelor's Degree (preferred).
  • Experience in customer service (3 years preferred).
