About the position

SpineSearch is seeking to fill an opening for a Medical Secretary to join a leading neurosurgery practice with locations throughout Suffolk County, NY. The Medical Secretary will play a crucial role in ensuring the smooth operation of the medical office by managing patient interactions and supporting the healthcare team. The ideal candidate will have a strong background in a medical office setting, particularly in neuro, spine, or orthopedic specialties, and will be responsible for a variety of administrative tasks that contribute to the overall efficiency of the practice. The Medical Secretary will be tasked with scheduling, receiving, and announcing scheduled patients and visitors, as well as screening unscheduled patients and arranging referrals to other healthcare providers. This role requires a proactive approach to help patients schedule necessary diagnostic tests such as x-rays, lab tests, physical therapy, MRIs, and CT scans. Additionally, the Medical Secretary will ensure physician productivity by maintaining calendars, scheduling patient appointments, and organizing professional meetings and conferences. Maintaining patient confidentiality is paramount, and the Medical Secretary will be responsible for developing and utilizing filing and retrieval systems to maintain patient records and document meeting discussions. The role also includes managing office supplies inventory, ensuring that the office equipment is operational, and performing preventive maintenance as needed. This position is essential for maintaining the high standards of patient care and operational efficiency within the practice.

Responsibilities

  • Scheduling, receiving, and announcing scheduled patients and visitors.
  • Screening unscheduled patients and visitors; arranging referrals to other health care providers.
  • Helping patients schedule x-rays, lab tests, physical therapy, MRIs, CT scans, etc.
  • Ensuring physician productivity by maintaining calendars; scheduling patient appointments; physician consultations; professional meetings, conferences; teleconferences, and travel.
  • Providing historical reference by developing and utilizing filing and retrieval systems; maintaining patient records; recording meeting discussions.
  • Maintaining patient confidence and protecting operations by keeping information confidential.
  • Maintaining office supplies inventory by checking stock; anticipating needs; placing and expediting orders; verifying receipt.
  • Keeping office equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.

Requirements

  • High School Diploma, Bachelor's Degree preferred.
  • At least 2 years of experience in a medical office.
  • Experience in a neuro, spine, ortho, or related setting preferred.
  • Willingness to travel to multiple offices.
