The Medical Secretary at Carondelet Medical Group plays a crucial role in ensuring the smooth operation of a busy medical office. The ideal candidate will thrive in a fast-paced environment, supporting a multi-specialty group of 25 providers. This position requires a proactive individual who can efficiently manage multiple tasks while maintaining a patient-oriented approach. The Medical Secretary will be responsible for a variety of administrative duties that are essential for maximizing the efficiency of the physicians and enhancing patient care. In this role, the Medical Secretary will support physicians by screening and sorting phone calls, documents, and other communications to ensure that the physicians can focus on their clinical responsibilities. Scheduling appointments, diagnostic studies, and surgeries will be a key part of the job, along with coordinating necessary authorizations. The Medical Secretary will also be responsible for managing the physician's daily schedules, obtaining necessary records and diagnostic studies for patient appointments, and rescheduling patients when emergencies arise. Additionally, the Medical Secretary will act as a liaison between the provider and the patient, receiving incoming phone calls from patients, answering their questions, and communicating important details back to the provider. This position requires excellent communication skills, exceptional organizational abilities, and a strong understanding of medical terminology. The candidate must be able to prioritize tasks effectively and handle the demands of a busy medical office with professionalism and care.

Responsibilities

  • Supports physician by screening and sorting phone calls, documents, etc. to maximize physician efficiencies
  • Schedules appointments, diagnostic studies, surgeries and coordinates necessary authorizations
  • Coordinates physician's daily schedules
  • Obtains necessary records, diagnostic studies, etc. for patient appointments
  • Reschedules patients when emergencies arise
  • Calls patients with appointment reminders
  • Acts as a liaison between provider and patient
  • Receives incoming phone calls from patients specific to the provider
  • Answers patient questions or communicates with provider details about patient calls and coordinates answers for patients

Requirements

  • Bilingual
  • 2 years of medical office experience
  • Mid-level administrative experience
  • Knowledge of medical terminology
  • Excellent communication skills
  • Exceptional organizational and administrative skills
  • Exceptional ability to prioritize
