About the position

The Advanced Medical Support Assistant (MSA) position at the Cumberland VA Community Clinic in Mechanicsburg, PA, involves providing specialized administrative patient support within an interdisciplinary coordinated care delivery model. The role requires expert administrative judgment and the ability to manage clinical flow processes related to patient access across various clinics and specialties. The MSA will be responsible for scheduling appointments, managing patient communications, and ensuring the efficient operation of clinic services.

Responsibilities

  • Answering phones and greeting patients, relaying messages to appropriate staff.
  • Scheduling, canceling, and rescheduling patient appointments and consults according to VHA national scheduling guidelines.
  • Entering no-show information and monitoring appointment requests from multiple electronic sources.
  • Verifying and updating patient demographics and insurance information during check-in.
  • Coordinating administrative functions related to patient transfers to other VA facilities or private hospitals.
  • Recommending changes to existing clinic procedures based on administrative guidelines.
  • Monitoring clinic appointment availability and making necessary adjustments to schedules.
  • Processing incoming patient secure messaging through MyHealthyVet and coordinating with care teams.
  • Participating in team huddles and meetings to manage patient care effectively.
  • Identifying incomplete encounters and communicating findings to providers.

Requirements

  • U.S. Citizenship is required.
  • Six months of experience in clerical, office, customer service, or administrative work.
  • Proficiency in spoken and written English.
  • Ability to communicate effectively with a wide range of medical clinicians.
  • Ability to independently set priorities and organize work to meet deadlines.
  • Advanced knowledge of medical terminology and healthcare processes.

Nice-to-haves

  • Experience in a healthcare setting.
  • Familiarity with electronic health records systems.
