About the position

The Medical Support Assistant (MSA) position at the US Veterans Health Administration is a vital role that supports the healthcare delivery system for veterans. The MSA is responsible for a variety of administrative and clerical tasks that ensure the smooth operation of medical facilities. This includes scheduling patient appointments, processing patient demographic data, and maintaining accurate patient records. In this role, the MSA will utilize automated data processing methods to manage patient information and appointments. They will be expected to review and annotate patient records, ensuring that all information is accurate and up-to-date. The MSA will also handle communication between patients and healthcare professionals, relaying important messages and coordinating care as needed. This position requires a strong understanding of medical terminology and the ability to navigate various office automation systems to support patient care effectively. The work schedule for this position is Monday through Friday, from 8:00 AM to 4:30 PM, providing a stable work-life balance. The MSA will be part of a team dedicated to serving veterans, and they will have opportunities for professional development and growth within the VA system. The position is not virtual, and candidates must be prepared to work on-site at the medical facility.

Responsibilities

  • Schedule patients for treatment using the available computer data system.
  • Process patient demographic data into the automated or manual system and correct patient data errors.
  • Provide patients with required paperwork for treatment and review all paperwork for accuracy.
  • Annotate patient records and maintain a variety of information files.
  • Give instructions to patients and arrange appointments with various clinics and services.
  • Record physicians' orders involving patient activities, diets, tests, and medications in patient records.
  • Record telephone messages pertaining to laboratory reports, x-rays, and test results, referring urgent ones to appropriate staff.

Requirements

  • U.S. Citizenship is required to apply for this job.
  • Proficient in spoken and written English.
  • Six months of experience in clerical, office, customer service, or administrative work, or one year above high school education, or a combination of both.
  • Ability to meet, communicate, and interact with individuals in a courteous manner.
  • Ability to utilize computer systems to enter administrative data in patient systems.
  • Knowledge of basic medical terminology to assist in the provision of care to patients.

  • Experience scheduling appointments in a clinical setting.
  • Ability to communicate effectively with internal and external customers.
  • Skill in customer service with the ability to identify customer concerns.
  • Experience monitoring electronic wait lists and entering no-show information.
