About the position

The Medical Support Assistant (MSA) position at the Department of Veterans Affairs involves performing a full range of administrative duties related to healthcare services in outpatient settings. The MSA serves as a vital point of contact for patients and clinical staff, ensuring efficient scheduling, communication, and support for patient care processes. This role is essential for maintaining the flow of operations within the clinic and ensuring that patients receive timely and appropriate care.

Responsibilities

  • Answer phones and greet patients, relaying messages to appropriate staff.
  • Schedule, cancel, and reschedule patient appointments, interpreting and verifying provider orders according to VHA national scheduling guidelines.
  • Enter no-show information and monitor appointment requests from multiple electronic sources.
  • Participate in huddles with other MSAs and clinic staff to determine daily needs.
  • Verify and update demographics and insurance information when patients check in for appointments.
  • Coordinate administrative functions related to emergency and non-emergency transfers to other VA facilities or private hospitals.
  • Serve as the initial point of contact for scheduling patient appointments and responding to electronic orders and consults.
  • Utilize computerized data entry and information processing systems related to patient care.

Requirements

  • U.S. Citizenship is required.
  • Six months of experience in clerical, office, customer service, or administrative work, or one year above high school education, or a combination of experience and education.
  • Proficiency in spoken and written English is mandatory.
  • Ability to operate computerized programs and systems for entering and retrieving sensitive medical information.
  • Advanced knowledge of medical terminology to communicate clinical staff instructions to patients.
  • Ability to work independently and communicate effectively with internal and external customers.

Nice-to-haves

  • Experience in a healthcare setting is preferred.
  • Familiarity with electronic health records and scheduling systems.
