About the position

CFC has a need for a Meeting and Events Planner I to join the Events and Training team. The Meeting and Events Planner I provides support for CFC's meeting planning function, including on-site Board and company events in addition to the administrative aspects of off-site meetings, as well as supports other members of the Events and Training team. As a Meeting and Events Planner I, you will coordinate meetings and events at CFC headquarters with internal stakeholders, including room setup, A/V requests, catering orders (from submission to delivery), and invoice payment. You will assist with on-site events, primarily for CFC and NCSC Board Functions in addition to other key corporate events. Maintaining the registration and learning management systems will be part of your responsibilities, including setting up conferences and workshops, ensuring member data is up-to-date, and accurate reporting. You will perform general duties including ordering event supplies and assisting with expense reconciliations, as well as maintaining the Events and Training calendar and shared documents in established computer file paths. Additionally, you will contact staff to receive and upload speaker presentations, prepare shipments for each statewide workshop, and coordinate printing and shipping deadlines with CFC's Business Center. Supporting online training and continuing education certification creation and distribution will also be part of your role. You will create personalized, accurate meeting support materials for internal and external member events, including name badges and table tent cards. To be successful in this role, you will need strong organizational skills, exceptional attention to detail, and the ability to juggle multiple projects while prioritizing effectively. Strong verbal and written communication skills, along with internal and external customer service skills, are essential for this position.

Requirements

  • Bachelor's degree or equivalent in work experience, bachelor's degree preferred.
  • 1 year of meeting planning experience working with both small and large conferences and events.
  • Strong organizational skills and exceptional attention to detail.
  • Strong verbal and written communication skills.
  • Strong internal and external customer service skills.
  • Proven ability to juggle multiple projects and prioritization skills.
  • Ability to work independently and as a team player.
  • Knowledge of registration and learning management systems including Cvent and Captivate Prime.
  • Proficient in MS Office Suite.
  • Knowledge of hotel and vendor contracts with the ability to negotiate changes as needed.
  • Ability to problem solve with willingness to think outside the box and provide workable and realistic solutions to challenges as they arise.
