About the position

As a Junior Meeting Coordinator at Booz Allen, you will play a crucial role in managing meeting services for corporate and government events. Your primary responsibilities will include overseeing the meeting services inbox via Cvent and Outlook, qualifying event requests, and managing the team's Meeting Card on a monthly basis. You will be tasked with building registration websites using Cvent, assisting Meeting Planners with various meeting-related tasks, and conducting thorough research throughout all phases of meeting and event planning. This includes initial client consultations, budget assessments, competitive sourcing, site selection, contract reviews, and negotiations. You will also be responsible for planning and executing meeting logistics, which encompasses creating conference registration websites, maintaining attendee information, collecting registration fees, generating registration reports, and coordinating with hotels to finalize logistics such as food and beverage, audiovisual needs, room setups, sleeping accommodations, transportation, and onsite management. Additionally, you will handle the final meeting closeout, invoice reconciliation, payment processing, and event summary documentation. In this fast-paced environment, attention to detail and the ability to meet deadlines are essential. You will need to stay within specific budget requirements while ensuring high-quality standards are maintained. The role requires a proactive approach to problem-solving and the ability to obtain a security clearance, as you will be working with sensitive information. A Bachelor's degree and CMP certification are required, along with a minimum of one year of experience in meeting planning, preferably with familiarity in using the Microsoft Office Suite and Cvent Registration Tool. Excellent communication and customer service skills are vital, as you will be collaborating with various stakeholders to ensure successful event execution.

Responsibilities

  • Manage meeting services inbox via Cvent and Outlook.

  • Perform invoice reconciliation and payment processing.

Requirements
