About the position

The Meeting Event Manager I role at Maritz involves leading and managing meetings for a large Pharmaceutical client within the SMM Life Sciences team. The position requires overseeing all aspects of event execution, including site selection, registration, room setup, menu planning, and budget reconciliation. The successful candidate will act as the primary point of contact, ensuring seamless communication and collaboration with colleagues and vendors to deliver successful events.

Responsibilities

• Act as main point of contact for assigned program's Meeting Owners and ensure all milestones elements are communicated and met.
• Run weekly client status calls to discuss progress.
• Work with sourcing team and clients on finalizing venue selection.
• Build, QC, and launch registration websites in collaboration with the registration team.
• Manage overall project financials and communicate changes to clients, while creating cost savings ideas.
• Negotiate items such as hotel contracts, supplier relationships, and third-party contracts.
• Initiate supplier payments and client invoices, providing timely updates to clients.
• Independently communicate with meeting owners and clients professionally and confidently.
• Act as an expert problem solver and manage multiple priorities at once.

Requirements

• Bachelor degree or equivalent experience required.
• Minimum 2+ years of experience in meeting/event planning (including corporate, pharmaceutical, high-touch programming).
• Strong knowledge of program/event management and budget maintenance.
• Prior successful experience in developing and maintaining key client relationships.
• Prior experience in effectively handling multiple projects/demands.
• Excellent computer skills, knowledge of Microsoft Office tools & ability to learn new technology quickly.

Nice-to-haves

• Sourcing and contracting experience preferred, but not required.
