About the position

The Meeting & Event Planner at Flik Hospitality Group is responsible for creating a welcoming and professional atmosphere for clients in a corporate environment. This role involves coordinating meetings and events, managing reservations, and ensuring a seamless experience for clients by providing a single point of contact for all their meeting needs. The Lead Planner will support the Senior Leadership Team and act as a key liaison for clients and planners.

Responsibilities

  • Coordinate top client & MC meetings & events throughout the Energy Center
  • Reserve conference rooms and detail client meetings for a flawless experience
  • Use the room reservation system (EM Connect) to input meeting details
  • Oversee day of meetings to ensure proper setup and equipment
  • Place catering orders for meetings and training sessions
  • Lead all aspects of the weekly BEO Meetings
  • Process reservations in the shared mailbox
  • Answer telephones to process room reservations and requests
  • Run daily reports to ensure setup aligns with requests
  • Assist Senior Leadership in pulling utilization reports
  • Run weekly reports for internal teams about upcoming meetings
  • Participate & lead daily, weekly, and monthly meetings
  • Act as the main point of contact for the Senior Leadership Team
  • Make decisions regarding client requests when senior leadership is unavailable
  • Collaborate with management and fellow coordinators to enhance the Conference Center
  • Support General Manager in maintaining conference room audits
  • Assess and resolve ways to streamline efficiencies
  • Train colleagues and new hires

Requirements

  • A Bachelor's Degree preferred
  • Minimum of two years' experience in a conference center or corporate environment
  • Leadership & management experience overseeing a team of one to ten members
  • At least two years hotel or conference center experience and experience with catering
  • A genuine sense of hospitality and commitment to delivering excellent service
  • Exceptional client service skills
  • Ability to work under pressure and prioritize tasks
  • Excellent listening, oral, and written communication skills
  • Strong digital literacy and knowledge of office technology
  • Punctual, dependable, and dedicated to operational excellence
  • Consistently professional approach with ownership mentality
