About the position

The Meeting & Events Planner at Restaurant Associates is responsible for the planning, coordination, and execution of various activities and special events. This role involves managing event calendars, promoting employee engagement through unique events, and ensuring seamless communication with clients throughout the event process. The planner will also oversee amenity spaces, coordinate with audiovisual teams, and maintain budgetary constraints while reporting on event sales and attendance.

Responsibilities

  • Manage activation events calendar and Eventbrite listings.
  • Assist with the creation and online dissemination of the RA Cookbook.
  • Promote employee engagement and satisfaction through unique events.
  • Create reservations within the EMS Reservation System for activities.
  • Serve as the point person for hosts during meetings.
  • Coordinate with audiovisual teams for AV support requests.
  • Oversee amenity spaces at designated UBS sites.
  • Perform regular walkthroughs of amenity spaces to ensure presentation standards.
  • Report maintenance faults and cleaning requests to appropriate personnel.
  • Ensure timely submission of vendor invoices to Finance.
  • Report on sales and attendance for all events and take proactive steps to increase participation.
  • Ensure seamless communication flow with clients before, during, and after events.

Requirements

  • Experience in corporate, conference center, or hotel events.
  • Ability to work a flexible schedule including occasional evenings.
  • Effective negotiating skills with outside vendors.
  • Excellent oral and written communication skills.
  • Strong organizational skills with the ability to multitask under pressure.
  • Strong computer skills and knowledge of office technology/equipment.
  • Knowledge of EMS is a plus.
  • Discreet, ethical, and committed to confidentiality.
  • Punctual, dependable, and dedicated to detail.
