About the position

Restaurant Associates is seeking a dedicated Meeting & Events Planner to join our team in Morrisville, NC. This full-time position offers a competitive salary ranging from $50,000 to $55,000 annually. As the Meeting & Events Planner, you will play a crucial role in the planning, coordination, and execution of various activities and special events. Your responsibilities will include managing the activation events calendar, creating reservations within the EMS Reservation System, and serving as the primary point of contact for hosts during meetings. You will also coordinate with the audiovisual team to address any ad hoc AV support requests from meeting participants. In this role, you will oversee the amenity spaces at designated UBS sites, ensuring that they are consistently presentable and free from outdated signage. Regular walkthroughs of these spaces will be necessary to report any maintenance faults or cleaning requests to the appropriate personnel. You will be expected to stay within budget limitations set by management and ensure that invoices from vendors associated with activation events are submitted to Finance in a timely manner. Additionally, you will report on sales and attendance for all events, taking proactive steps to increase participation and sales. Effective communication is key in this position, as you will need to ensure a seamless flow of information with clients before, during, and after their events. This role requires a flexible schedule, including occasional evenings, and is an in-person position. You will be expected to perform all other duties as assigned, contributing to the overall success of the events and the satisfaction of our clients.

Responsibilities

  • Manage activation events calendar and Eventbrite listings.
  • Create reservations within EMS Reservation System for activities in amenity spaces and Cooking School.
  • Serve as the point person for the host during meetings.
  • Coordinate with audiovisual team for ad hoc AV support requests from meeting participants.
  • Oversee the amenity spaces at designated UBS sites.
  • Perform regular walkthroughs of amenity spaces to ensure furniture is presentable and signage is up to date.
  • Report maintenance faults/hazards and cleaning requests to appropriate personnel.
  • Ensure timely submission of vendor invoices to Finance.
  • Report on sales and attendance for all events and take proactive steps to increase participation.
  • Ensure seamless communication flow with clients before, during, and after events.

Requirements

  • Experience in corporate, conference center, or hotel events.
  • Ability to work a flexible schedule including occasional evenings.
  • Effective negotiating skills managing outside vendors' relationships.
  • Excellent oral and written communication skills.
  • Excellent organizational skills with the ability to work under pressure, prioritize, and multitask.
  • Strong computer skills and knowledge of office technology/equipment.
  • Knowledge of EMS is a plus.
  • Discreet, ethical, and committed to maintaining confidentiality.
  • Punctual, dependable, and dedicated to achieving excellence.
