About the position

The Meetings Coordinator at the International Association of Chiefs of Police (IACP) plays a crucial role in supporting the organization’s mission to advance safer communities through effective police leadership. This position involves managing logistics for mid-sized meetings, negotiating venue contracts, and providing support for the IACP annual conference, all within a dynamic and progressive environment.

Responsibilities

  • Serve as the point of contact to plan, arrange, and coordinate administrative, logistical, and support services for assigned IACP small/midsize meetings.
  • Use IACP templates to create RFPs to source, analyze, and make meeting location recommendations for assigned small/midsize events ensuring IACP standards are maintained.
  • Assist with contract negotiations to identify, obtain, and negotiate suitable pricing.
  • Assist in the creation of budgets for meetings.
  • Work with internal staff and external vendors to coordinate logistical details of three annually occurring midsize meetings (500-1,000 attendees) including housing block, food and beverage, meeting room set-ups, audio visual, signage, shipping, transportation, special events, on-site coordination, billing, etc.
  • Build and maintain an event app for assigned midsize meetings.
  • Develop and manage project timelines and lead status meetings.
  • Complete weekly, monthly, and final status and key performance indicator reports as required for small/midsized events.
  • Maintain and improve the IACP and conference brand, consistently representing the IACP brand throughout all designated conferences.
  • Assist Conference Managers with IACP Annual Conference responsibilities.

Requirements

  • Associates degree.
  • Proficiency in Microsoft Office products (Outlook, Word, Excel, and PowerPoint) and other relevant business software.
  • Solid analytical skills to include ability to troubleshoot problems from multiple perspectives.
  • Effective task prioritization and time management skills.
  • Solid writing, editing, and communication skills.
  • Effective collaboration and teamwork skills.
  • Attention to detail.

Nice-to-haves

  • Experience in a non-profit organization, association.
  • Familiarity with and understanding of federal grant requirements and compliance.
  • Experience with, and ability to plan events and make logistical arrangements for individuals and groups.
