About the position

The Membership Administrative Coordinator at the American Society for Reproductive Medicine (ASRM) is responsible for providing comprehensive administrative and clerical support to the Membership Department. This role involves managing membership data, coordinating activities for Special Interest Groups and Professional Groups, and ensuring effective communication with members. The coordinator will also assist with event planning and participate in the Annual Scientific Congress, contributing to the overall success of the membership initiatives.

Responsibilities

  • Provide overall administrative and clerical support throughout the Membership Department as needed.
  • Support staff in coordinating efforts for all ASRM Special Interest Group and Professional Group activities during the year and at the Annual Scientific Congress.
  • Manage membership data as assigned and maintain the integrity of data quality.
  • Coordinate, staff, and take minutes for SIG/PG teleconferences and meetings.
  • Develop, design, and distribute member communications, including newsletters, surveys, electronic communications, and printed materials.
  • Receive and distribute incoming mail.
  • Assist organizations in coordinating individual memberships for their employees.
  • Act as the primary recipient for incoming calls and Membership specific emails.
  • Assist as needed with off-site events.
  • Interact with members, resolve service issues, and take payments via telephone and email.
  • Exhibit proficiency with the society's Association Membership Software (AMS).
  • Attend the ASRM Annual Scientific Congress and staff the ASRM Booth and other functions as needed (approximately one week of travel required).
  • Assist with ensuring website updates are performed regularly.

Requirements

  • Bachelor's degree (or equivalent work and education experience).
  • 2 years of experience involving planning events or projects preferred.
  • 2 years of experience with leading group efforts preferred.
  • Competencies with the Microsoft suite of products, primarily Excel and Word.
  • Excellent verbal and written communication skills.
  • Attention to detail and accuracy in all work products.
