About the position

The Director of Membership serves as the Ambassador for the Club, ensuring that all members and guests receive the highest level of service during their time at the Club. This position requires the ability to interact positively and confidently with members, guests, and fellow team members. The Membership Director will assist the staff in organizing and implementing all member events, making it essential to possess outstanding human relations skills, a polished and professional image, and creative communication skills. Initiative, integrity, and resourcefulness are also key traits for success in this role. The candidate must enjoy working collaboratively with both staff and Club members. Day-to-day activities include being the Club’s “Ambassador” to welcome members, prospects, and guests. The Membership Director must have excellent organizational and time management skills, with the ability to coordinate details and prioritize work effectively. An excellent memory for names and faces is crucial. This position reports directly to the General Manager and works closely with the Membership and Marketing Committee. Specific duties encompass various aspects of membership, marketing, member communications, and website management. The Membership Director is responsible for responding promptly to inquiries regarding Club Membership, dues, and regulations, as well as following up on membership leads. They will greet and tour Discovery Day rounds of golf, explain membership options, and maintain detailed information about potential members. The role also involves coordinating the membership process, conducting new member orientations, and hosting mixers and appreciation nights. In terms of marketing, the Director will develop collateral materials to showcase the Club, assist in creating and implementing the annual marketing plan, and work closely with realtors and builders to introduce potential buyers to the Club. They will lead the Club’s social media efforts and network with community partners to promote Club activities and events. The Membership Director will also draft correspondence for members and prospective members, maintain the Club's website, and ensure that all communications are accurate and timely. Overall, this role is pivotal in enhancing the membership experience and driving membership growth.

Responsibilities

  • Serve as the Club Ambassador to welcome members, prospects, and guests.
  • Respond promptly to inquiries regarding Club Membership, dues, and regulations.
  • Follow up on all membership leads, including emails, phone calls, and drop-ins.
  • Greet and tour all Discovery Day rounds of golf, explaining membership options.
  • Coordinate with the Golf Shop and outside service staff for reciprocal rounds of golf.
  • Maintain detailed information about potential members and leads.
  • Coordinate the membership process and follow up on communications with prospective and new members.
  • Perform New Member Orientations and On-Boarding, reviewing Club rules and regulations.
  • Host new and prospective member mixers and appreciation nights.
  • Supervise and manage member tracking systems and maintain computerized membership files.
  • Introduce potential members to existing club members with similar interests.
  • Work closely with the accounting department to ensure paperwork for new and resigning members is completed.
  • Verify login credentials for new members' accounts and send welcome emails with information packets.
  • Assess the need for and make recommendations regarding membership retention and recruitment.
  • Develop marketing collateral and design marketing ads for online and print.
  • Assist in the creation and implementation of the annual marketing plan.
  • Network with community partners and coordinate marketing pieces with photographers and videographers.
  • Promote Club activities and events, assisting in the development of member functions.
  • Develop and lead a strategic membership development program to increase membership count and dues revenues.
  • Create monthly reports for the Membership and Marketing Committee regarding data and performance.
  • Conduct annual surveys on membership dues and practices.
  • Work with the membership to identify prospective members and promote referrals.
  • Draft correspondence for members and prospective members, including newsletters and updates.
  • Maintain the Club's website and create member calendar events.
