About the position

The Membership Coordinator at the University of Washington is responsible for managing the daily operations of the UW Alumni Association's membership program. This role involves processing memberships, ensuring compliance with policies, tracking membership revenue, and serving as a primary contact for membership-related inquiries. The position emphasizes program management, customer service, and supporting the university's commitment to diversity, equity, inclusion, and belonging.

Responsibilities

  • Process annual and lifetime memberships and donations to UWAA, including auditing memberships and balancing payments.
  • Audit and update UWAA member data and create new member records in the relational database.
  • Manage the inventory, preparation, and mailing of member welcome packets and thank you letters.
  • Train and delegate work to the Membership team's work-study student.
  • Prepare reports on member acquisition and retention statistics using detailed tracking and metrics analysis.
  • Complete phone, email, and in-person membership sales.
  • Develop in-depth program knowledge and respond to member inquiries.
  • Provide back-up support to the UWAA Customer Service program and front desk.

Requirements

  • High school graduate or equivalent.
  • Two years of experience in data entry, clerical, and customer service or related field.
  • Ability to work and communicate effectively.
  • Experience providing excellent customer service.
  • Demonstrated creativity, organizational ability, and attention to detail.
  • Ability to maintain and protect confidential information.
  • Excellent organizational and planning skills.
  • Proficiency using relational databases.
  • Proficient in Microsoft Office and experience with project management tools.

Nice-to-haves

  • Experience with Asana or similar project management tools.
  • Demonstrated ability to make decisions in ambiguous situations.
