About the position

The Membership Coordinator at Ludlow Boys & Girls Club is responsible for overseeing all aspects of membership services, including recruitment and retention of members, managing the membership service center, and supervising membership services staff. This role involves clerical duties, data management, and collaboration with various departments to enhance club services and ensure member satisfaction.

Responsibilities

  • Implement membership strategies and processes to support recruitment and retention of members.
  • Create a member-focused culture and model relationship-building skills in all interactions.
  • Foster a climate of innovation and resolve problems to ensure member satisfaction.
  • Promote program and membership enrollment in interactions with existing and potential members.
  • Coordinate program registration logistics for phone, walk-in, and online registration.
  • Collaborate with marketing efforts to maximize enrollments and support department managers.
  • Coordinate with the Finance office on the collection and processing of payments.
  • Participate in planning and managing the annual budget for membership services.
  • Ensure proper implementation of member service procedures and update desk procedures as needed.
  • Assist the Development department with marketing campaigns related to programs and membership services.
  • Become proficient in membership operations systems and maintain database accuracy.
  • Develop quality assurance plans and monitor data integrity for membership data.
  • Create training materials on membership operations system procedures for staff.
  • Design reports and queries to track outcomes and facilitate data review meetings.
  • Monitor internal surveys to enhance program quality and member recruitment.
  • Ensure accurate processing of cash and check receipts in the operational database.
  • Allocate, monitor, and manage Membership staff performance and schedules.
  • Train, develop, and evaluate membership services personnel and volunteers.

Requirements

  • High School Diploma with 2 years of related job experience; Associate or Bachelor degree preferred.
  • Minimum of two years' experience in the operation of a Boys & Girls Club or similar organization preferred.
  • Strong project management, math, and organizational skills.
  • Working knowledge of Microsoft Office (Excel, Word, PowerPoint, and Outlook) required.
  • Advanced skills in database management and project management.

Nice-to-haves

  • Experience in a leadership role within a membership organization.
  • Proven ability to outline measurement and evaluation procedures for internal database systems.
