About the position

The Membership Services Database Administrator will support the Member Services Director in managing and enhancing the organization's membership processes. This role involves data management, reporting, and providing support to members of the National Medical Association (NMA). The administrator will ensure data integrity, facilitate training, and assist with member services, including processing dues and responding to inquiries.

Responsibilities

  • Serve as the Subject Matter Expert (SME) for the association management database.
  • Safeguard data integrity by updating the database with member pricing changes and contact information.
  • Monitor and troubleshoot database issues in collaboration with the Association Management provider.
  • Facilitate regular testing to validate system functionality before executing new products in the database.
  • Oversee the implementation of database enhancements and communicate information to the Membership Team.
  • Provide training to staff as needed.
  • Collaborate with the Member Services Director to create SOPs and training documents.
  • Work closely with the Conference and/or CME Director to create and update new meetings in the database.
  • Serve as a liaison between the conference management system and NMA to resolve registration conflicts.
  • Create and analyze data for NMA Staff and Committees on a monthly basis or upon request.
  • Distribute NMA member communications via Constant Contact.
  • Process dues and donation payments into the association management system.
  • Process membership renewals and new member requests via email, telephone, mail, or fax.
  • Update member profiles as needed.
  • Respond to inquiries received via email and telephone within specified timeframes.
  • Participate onsite at the NMA Annual Convention and Colloquium.
  • Assist with membership recruitment and retention efforts.

Requirements

  • Bachelor's degree in business or public health, or a health-related field preferred.
  • Minimum of five (5) years of data management experience with nonprofit organizations.
  • Experience working in Non-Profit Association is mandatory.
  • Exceptional customer service skills.
  • Experience using Non-Profit association management systems for data management and analysis.
  • Well organized and able to work independently.

Nice-to-haves

  • Experience with Constant Contact for member communications.
  • Knowledge of public health principles.
