About the position

The Mental Health Administrative Assistant at The Healing Fountain is a vital role focused on providing administrative support in a busy mental health practice. This position involves greeting clients, managing insurance information, and ensuring smooth office operations while fostering a welcoming environment. The role is part-time, requiring 30 hours a week, and offers opportunities for personal growth and career advancement within the practice.

Responsibilities

  • Greets clients and electronically registers them, collecting necessary demographic and insurance information.
  • Collects copays from clients.
  • Communicates effectively with clients and multiple sources via email, telephone, and in person.
  • Prepares the office for the following day by printing schedules and confirming appointments and insurance statuses.
  • Archives inactive client charts yearly.
  • Maintains inventory of office equipment and supplies, placing orders as needed.
  • Monitors delinquent accounts and performs collection duties.
  • Updates practice insurance and licensure, including quarterly re-attestation.
  • Obtains online Explanation of Benefits (EOBs) from insurance websites and other payer services.
  • Performs other duties as requested or assigned.

Requirements

  • Minimum of 2 years' experience in an office setting.
  • Experience in a mental health or medical office setting preferred.
  • Associate's degree preferred.
  • Proficiency in EHR systems, Microsoft Office, and Google Suite.
  • Strong communication skills and phone etiquette.
  • Ability to multi-task in a fast-paced environment with attention to detail.
  • Considerable initiative and judgment required.

Nice-to-haves

  • Experience with health insurance eligibility, benefits, procedures, and reimbursement.
