About the position

The Office Manager I (OM I) position at Wellstar General Surgery - Hiram is a pivotal role within the WellStar Health System, focusing on enhancing patient experience, operational effectiveness, cultural integration, and system outcomes. As a key member of the WellStar Medical Group, the OM I is responsible for overseeing the overall office operations, which includes directing daily clinical and business functions. This role requires planning, supervising, and coordinating the day-to-day operations of a WellStar Medical Group practice, ensuring compliance with all regulatory agencies associated with WellStar Health System and WellStar Medical Group. The OM I will also be responsible for adhering to practice-specific regulations relevant to their specialty. In this capacity, the OM I will be involved in the selection and hiring of employees according to WellStar's established guidelines. They will monitor, coach, develop, and evaluate the performance of staff continuously, in line with WellStar's performance standards. The position emphasizes maintaining clinical quality, financial viability, human resources, patient experience, and staff and provider engagement. The OM I will collaborate with associated departments to maintain proficiency in business operations and resolve operational issues effectively. This role supports up to seven providers across no more than two locations, making it essential for the OM I to create a culture that aligns with the strategic objectives and organizational goals related to quality and service.

Responsibilities

  • Understand, support, and communicate the WellStar Health System vision, strategic plan, and business plan to the practice.
  • Align practice goals with the organization's mission to ensure outstanding quality and service.
  • Create a culture needed to carry out strategic objectives and organizational goals related to quality and service.
  • Identify opportunities for continuous growth via patient access, operational workflows, and patient outcomes.
  • Adhere to WellStar Health Systems policy and procedure regarding overall human resource management and apply such policies consistently.
  • Demonstrate effective hiring and management of staff, including employee engagement, performance management, training, and evaluation.
  • Collaborate with WMG Clinical Services and WMG Clinical Informatics to improve clinical quality outcomes through quality control and infection prevention.
  • Cultivate a relationship of mutual respect and trust with providers and staff, facilitating understanding and acceptance of good business management.
  • Manage practice operations to assure financial viability through service quality and clinical excellence.
  • Support and apply a working knowledge of WellStar Health Systems Standard and Department Policies and Procedures.

Requirements

  • Associate's Degree from an accredited college or university in business or related field of study required, or 4-5 years of management experience in lieu of a degree.
  • Minimum 2 years of management experience required, or completion of Wellstar Administrative Fellowship.
  • Professional-level computer skills and advanced experience with Microsoft Office.
  • Excellent written and verbal communication and presentation skills.
  • High degree of professionalism, diplomacy, and discretion with excellent judgment, problem-solving, and decision-making skills.
  • Strong customer-service skills and superior leadership skills with the ability to motivate and develop staff.

Nice-to-haves
