About the position

The Military Education Coordinator at the University of Maryland Global Campus (UMGC) plays a vital role in supporting military and civilian students at Minot Air Force Base, ND. This position is integral to the Office of Stateside Military Operations, where the coordinator will report directly to the Assistant Director or Director. The primary responsibility of the Military Education Coordinator is to facilitate hybrid class offerings and testing services, ensuring that both prospective and current students receive exceptional support throughout their academic journey. This includes face-to-face advising, virtual advising, administrative support, and recruitment and retention outreach. The coordinator will also be responsible for test proctoring services for students on military installations and in surrounding areas. The role requires a strong commitment to customer service, as the coordinator will advocate for students and promote UMGC services, including hybrid classes and testing services. The coordinator will maintain and expand their knowledge of UMGC systems, including customer relationship management (CRM) databases such as Salesforce and Peoplesoft. Additionally, the coordinator will support management in creating and coordinating outreach projects and services to military and civilian installations, participating in local events such as Military Open Houses and College/Academic Fairs. The position is 100% on-site, with travel to other military installations required for office coverage. The working hours are Monday through Friday, with some evening and occasional weekend hours as needed. The specific work schedule will be determined by management and may change based on business needs. The coordinator will also be responsible for ensuring that testing rules and regulations are enforced and maintaining current certifications for various testing companies. Overall, the Military Education Coordinator is essential in providing a seamless educational experience for military and civilian students at UMGC.

Responsibilities

  • Provide students with superior customer service as an advocate and advisor throughout the academic cycle.
  • Promote and support localized UMGC services including hybrid classes, testing services, and graduation ceremonies at military installations and civilian sites.
  • Perform operational and administrative duties to ensure offices and test centers are maintained according to military standards.
  • Maintain and expand knowledge of UMGC systems including CRM databases like Salesforce and Peoplesoft.
  • Support management in creating and coordinating outreach projects and services to military and civilian installations.
  • Provide proactive input and creative support at local events such as Military Open Houses and College/Academic Fairs.
  • Oversee office resources and coordinate with management for IT assets and office supplies.
  • Ensure marketing materials are current, accurate, and displayed according to military requirements.
  • Maintain positive relationships with Education Services Officers, Test Control Officers, and various testing services.
  • Assist students with admissions, registration, financial aid, and base access requests for classes.
  • Track and analyze statistical data on testing and class enrollments to inform scheduling for hybrid classes and proctoring.
  • Ensure adequate space and technology for testing and class instruction.
  • Prepare civilian students and professors for base access, ensuring timely acquisition of passes.
  • Attend local and national events, education fairs, and conferences as required.
  • Communicate promptly with management regarding any issues affecting staffing and test administration.
  • Assist with the registration process for administered exams at National Test Centers.
  • Enforce testing rules and regulations according to policies of testing services and UMGC.
  • Facilitate software updates and maintenance for testing services; troubleshoot technical issues as needed.
  • Provide in-person coverage to other locations for testing services and academic advising.
  • Perform all other duties as assigned.

Requirements

  • Bachelor's degree from an accredited institution of higher learning.
  • One year of customer service experience, preferably in higher education.
  • Outstanding customer service skills with both internal and external customers.
  • Strong organizational, communication, and interpersonal skills, capable of prioritizing and managing multiple projects and tasks.
  • Ability to proficiently use MS Office Products.

Nice-to-haves

  • One year of experience working in a higher education environment, preferably with non-traditional students.
  • General knowledge of UMGC practices and procedures.
  • Experience working with the military or military students, preferably in higher education.
  • Experience using PeopleSoft, Salesforce, and Microsoft 365.
