About the position

The Scheduling Coordinator plays a crucial role in supporting the operations of Leidos QTC Health Services clinics across the nation. This position is responsible for the effective management and communication of provider schedules, ensuring that clinical operations run smoothly and efficiently. The Scheduling Coordinator will utilize electronic scheduling software to maintain and maximize the scheduling process, which is vital for meeting the operational goals of timeliness, quality, and customer service. In this rewarding role, the Scheduling Coordinator will be responsible for overseeing processes and procedures that ensure the timely and quality completion of work in accordance with Group Event contractual obligations. This includes managing Provider Resource Management (PRM) resolutions, granting access to providers and staff for events, and serving as a subject matter expert on the Operations Management System (OMS). The role also involves creating group events, managing service members and requested services, and reviewing, approving, or canceling group events as necessary. Additionally, the Scheduling Coordinator will co-lead weekend events, providing essential data to the Associate Director of Operations for Group Events. The position requires immediate reporting of any unusual incidents to the ADO Group Events and involves analyzing and reporting on operational statistics on a weekly, monthly, and quarterly basis. The role may also include assisting the GE Ops Supervisor with onboarding and training subordinate employees, as well as handling performance assessments and work assignments. This position is remote, primarily operating in the Central Standard Time zone, and requires flexibility to work varied hours, including weekends, due to the nature of military group events. Initial training will be conducted during standard business hours, and the specific shift will be discussed during the interview process.

Responsibilities

  • Support clinic operations nationwide through effective schedule review and management.
  • Maintain and maximize electronic scheduling software for clinical operations.
  • Ensure timely and quality completion of work according to Group Event contractual obligations.
  • Manage Provider Resource Management (PRM) resolution and grant access to providers and staff for events.
  • Serve as a subject matter expert on the Operations Management System (OMS).
  • Create group events and manage service members and requested services.
  • Review, approve, and cancel group events as necessary.
  • Co-lead weekend events and provide roll-up numbers to the Associate Director of Operations.
  • Report any unusual incidents immediately to the ADO Group Events.
  • Analyze and report on operational statistics weekly, monthly, and quarterly.
  • Assist GE Ops Supervisor in coordinating subordinate employee onboarding and training.

Requirements

  • High School diploma or GED required.
  • Minimum 3-5 years of experience in a healthcare setting.
  • Ability to pass contractually required Federal background check.
  • Willingness to work varied hours, including weekends.

Nice-to-haves

  • Experience with Provider Resource Management (PRM) and Operations Management System (OMS).
  • Past or current military group event experience.
  • Experience within the military medical community.
