About the position

The Mission Support Specialist plays a crucial role in providing administrative support to the Project Team in El Paso, Texas. This position involves a variety of clerical tasks aimed at ensuring the smooth operation of the team, including managing schedules, coordinating meetings, and handling correspondence. The specialist is expected to maintain professionalism while dealing with sensitive information and to work independently in a flexible environment.

Responsibilities

  • Provide general administrative and clerical support, including filing, photocopying, faxing, and mailing.
  • Compose, type, and distribute professional correspondence, memoranda, and emails.
  • Manage project calendars and team calendars as requested.
  • Prepare work agreements and proposals.
  • Review and respond to daily internal and external mail and overnight packages.
  • Coordinate meetings by preparing and distributing agendas and other meeting materials.
  • Schedule meetings via MS Teams and MS Outlook.
  • Reserve and prepare facilities for meetings and conferences.
  • Record and transcribe meeting minutes as a meeting notetaker.
  • Provide general administrative support for asset management, purchasing, and other support functions.
  • Assist and maintain E-QIP schedules and provide support to staff needing to complete E-QIP.
  • Conduct research, compile, and type statistical reports.
  • Attend meetings and other functions as needed.
  • Perform other related duties as assigned by Management.

Requirements

  • High School diploma is required; a 2-year degree is desired.
  • 2 years of relevant experience is required.
  • Proficiency in MS Word, MS Excel, and MS Outlook is necessary.
  • Ability to use SharePoint is required.
  • Excellent communication skills and professionalism in dealing with confidential issues are essential.
  • Strong problem-solving skills and attention to detail are necessary.
  • Ability to work independently and prioritize projects is required.
  • Bilingual in English and Spanish is preferred.
  • Must have a valid Class C driver's license and be authorized to work in the U.S.
  • Must be able to travel within the Continental United States (CONUS).
