About the position

The MLS Manager at the Greater Metropolitan Association of REALTORS (GMAR) is responsible for leading and overseeing the MLS team, managing system processes, ensuring compliance, and providing exceptional customer service to members. This role requires a dynamic individual who can adapt to technology quickly and work effectively in a fast-paced environment. The position is hybrid, involving both remote work and some evening and weekend hours.

Responsibilities

  • Lead, develop/train and oversee MLS Team staff providing feedback to Administrative Director and CEO for performance reviews
  • Manage, document and oversee MLS system processes; track & submit member suggestions for improvements
  • Manage, maintain, and update GMAR MLS Policies, Rules & Regulations, as well as SentriLock and MLS forms; communicates changes to staff and members and posts as appropriate
  • Manage MLS Compliance & Violations through generating reports, overseeing the process and collaboratively working with MLS team and accounting to ensure all steps are taken to ensure compliance; follows up with members out of compliance as needed
  • Collaborate with Membership Manager to ensure data is consistent between Rapattoni, SentriLock and MLS generating reports and assisting with cleanup efforts as required
  • Collaborate with Education Director and instructors to develop MLS courses and course schedules; manage new member MLS orientation program to ensure members complete as required
  • Contribute and review MLS and SentriLock content for weekly MLS Tips & Tricks emails, announcements, articles, training videos, social media, instructional collateral, and other MLS marketing campaigns
  • Communicate and resolve technical issues with Rapattoni, Flexmls and SentriLock, as well as any third-party vendors as needed
  • Generate statistics reports for email, social media, website and magazine content
  • Create short how-to training videos
  • Develop and conduct MLS training sessions and new member MLS Orientation class and videos
  • Process IDX vendor requests by completing Association portion of contract, submitting to MichRic, and appropriately filing fully executed agreement
  • Serve as GMAR MLS and SentriLock Lockbox expert providing customer service to members using our Multiple Listing Service (MLS) platform
  • Maintain MLS Team dashboards and metrics within ticket management platform
  • Work within Zohodesk.com ticket management platform creating and updating work requests, service calls and emails as applicable
  • Respond timely to incoming emails, Teams IMs, voicemails, and online chat requests
  • Process lockbox orders
  • Provide customer service to prospective members and members by answering membership and education questions, processing member payments, changes and reinstatements, registering members for classes, and directing them to the appropriate association department as needed
  • Assist members with questions and purchases in our ToolShop store
  • Assist with activities and special projects of all other departments when needed
  • Attend and contribute to committee meetings as Staff Liaison to MichRic Specs Committee and MLS Committee, scheduling meetings, preparing agendas, minutes, memos, motions & packets.

Requirements

  • Bachelor's degree or equivalent
  • 2+ years in Real Estate Operations and/or MLS experience
  • Highly proficient in technology, computer programs, website, database and software programs, office equipment, and applications, including Word, Outlook, Teams, SharePoint, OneDrive & Excel, MLS systems and related programs
  • Strong oral and written communication skills
  • Strong organizational and analytical skills
  • Strong customer relations skills - patience and listening skills to respond appropriately and positively to members
  • Time management skills to prioritize and complete a variety of tasks throughout the day
