About the position

The MS Project Coordinator plays a crucial role in assisting Project Managers with the ongoing implementation of various projects. This position involves monitoring the overall progress of projects and regularly updating Project Managers on the status of each team based on scheduled tasks. The ideal candidate must possess strong problem-solving skills, exceptional communication abilities, and proficiency in time management, particularly with Microsoft Suite applications, especially MS Project. The role is designed for individuals who can thrive in a fast-paced environment with tight deadlines, ensuring that project goals are met efficiently and effectively. In this role, the MS Project Coordinator will be responsible for maintaining and monitoring project plans, overseeing project schedules, and tracking task hours. They will communicate project goals to the project team and corporate management, ensuring that everyone is aligned with the project priorities. The coordinator will also document and follow up on action items, monitor and document any changes to the project, and assess project risks and issues, coordinating solutions as necessary. Additionally, the coordinator will prepare presentation materials for project meetings, chair and facilitate meetings, and create weekly status reports for Project Managers and customers. Regular communication with Project Managers and the Director of Programs is essential for information sharing and problem-solving. The MS Project Coordinator will also assist with project bid requirements by completing necessary documents for final bid submissions and undertaking various project-related tasks as required. Participation in training sessions will be expected to enhance skills and knowledge relevant to the position.

Responsibilities

  • Maintain and Monitor Project Plans: Oversee project schedules and task hours.
  • Communicate Project Goals: Convey project priorities to the project team and corporate management.
  • Document and Follow Up on Action Items: Ensure action items are tracked and addressed.
  • Track Project Changes: Monitor and document any changes to the project.
  • Assess Project Risks and Issues: Identify risks and issues, and coordinate solutions.
  • Prepare Presentation Materials: Develop materials needed for project meetings.
  • Chair and Facilitate Meetings: Lead meetings, take minutes, and distribute them.
  • Create Weekly Status Reports: Develop weekly project schedule status reports for Project Managers and customers.
  • Regular Communication: Maintain ongoing communication with Project Managers and the Director of Programs for information and problem-solving.
  • Assist with Project Bid Requirements: Complete necessary documents for final bid submissions.
  • Undertake Project Tasks: Perform project-related tasks as required.
  • Training: Participate in training as needed.

Requirements

  • Time Management Skills: Prioritize tasks and manage time efficiently.
  • Microsoft Suite Experience: Proficiency in MS Project and other Microsoft Office applications.
  • Proficient in complex resource loading and resource generation techniques.
  • Skilled in generating Critical Path reports and critical slack reports.
  • Familiarity with project management tools and software for scheduling and resource allocation.
