About the position

The Operations Assistant at The Church of Jesus Christ of Latter-day Saints plays a crucial role in supporting the administrative and secretarial needs of various operations teams. This entry-level position serves as a first point of contact for the area, assisting missionaries and visitors while ensuring smooth operations within the Missionary Training Center (MTC).

Responsibilities

  • Answer both internal and external phone calls and direct them to the appropriate department as necessary.
  • Correspond with MTC employees, ecclesiastical staff, and the general public.
  • Greet, welcome, and provide directions for MTC official visitors and the visiting public.
  • Communicate MTC standards, protocols, and policies to missionaries and visiting personnel.
  • Oversee inventory of various items (keys, missionary materials, office supplies, MTC vehicles) and order supplies as needed.
  • Assist missionaries with check-in, materials, schedules, travel arrangements, legal documents, and emergencies.
  • Receive, package, and ship materials for missionaries.
  • Organize and review missionary information/items in preparation for arrival or departure from the MTC.
  • Facilitate travel arrangements and itineraries for missionaries.
  • Track important missionary information and assist in making adjustments for missionary schedule/travel changes.
  • Assist in interviewing, hiring, and training new team members.
  • Assist in team trainings and implementation of new policies/practices.
  • Evaluate processes to increase efficiency and accuracy.

Requirements

  • Familiarity with computers and MS Office applications, including Word, Excel, and Outlook.
  • Excellent public relations skills.
  • Ability to handle stressful situations.
  • A high degree of personal organization and self-management.
  • Ability to manage complex and highly confidential information.
  • Excellent social skills, able to operate with diplomacy, tact, and empathy.
  • Ability to manage multiple tasks and achieve deadlines under pressure.
  • Ability to understand and strictly uphold policies and procedures.
  • Flexibility with work schedules.
