The Assistant Secretary will also support the school’s athletic program through various clerical services. In this role, the Assistant Secretary will serve as the primary secretary to an Assistant Principal, managing their appointment calendar, scheduling interviews and meetings, and providing support for various committees. The individual will act as a point of contact for the school, addressing inquiries from students, parents, and staff, and will also assist in training and supervising student office assistants and parent volunteers. The responsibilities extend to managing athletic packets, ensuring compliance with necessary forms, and monitoring student eligibility for sports. The Assistant Secretary will coordinate transportation for athletic events, maintain communication with coaches, and manage athletic budgets. Additionally, the role involves maintaining personnel files for coaches, assisting with injury reports, and managing insurance claims. The Assistant Secretary will also be responsible for inputting and retrieving student information data, preparing reports, and supporting the lead secretary with financial tasks. The position requires a proactive individual who can handle multiple tasks, maintain confidentiality, and establish effective working relationships within a diverse environment. The Assistant Secretary will also be involved in orienting new personnel and may assist in emergency situations as needed. Responsibilities

  • Serve as secretary to an Assistant Principal or designated administrator of a High School.
  • Maintain appointment calendar and schedule interviews and meetings.
  • Provide secretarial support to meetings and committees as requested.
  • Screen calls and visitors for designated administrator(s) and staff.
  • Act as a point of contact for the school building, answering inquiries from students, parents, staff, and the public.
  • Assist the lead secretary in training, supervising, and evaluating student office assistants and parent volunteers.
  • Receive and process athletic packets from students, ensuring completion of necessary forms.
  • Monitor and review students' grade point averages for eligibility and notify coaches of eligibility status.
  • Coordinate transportation for athletic events and activities.
  • Maintain and distribute athletic events calendar and notify students, parents, and staff of events.
  • Maintain coaches' personnel files and assist with scheduling interviews for vacancies.
  • Assist parents and coaches with injury reports and insurance claim forms.
  • Input and retrieve computer student information data and prepare various reports and correspondence.
  • Assist lead secretary with recording students and staff monies and collecting fines.
  • Orient new site personnel regarding school and district practices.
  • Issue bus tokens and cards to students.

Requirements

  • High school diploma or GED equivalent.
  • Two years of clerical/secretarial experience with responsibility for records maintenance and public contact, preferably in a school setting.
  • Valid State of Washington Driver's License or equivalent mobility.

Nice-to-haves

  • Experience in a school setting is preferred.
  • Knowledge of accounting and bookkeeping principles.
  • Familiarity with eSIS and SAP systems.
