About the position

The National Project Coordinator plays a crucial role in the asphalt and paving construction office environment, ensuring that projects are managed efficiently from inception to completion. This position requires an individual who can thrive in a fast-paced setting, demonstrating outstanding organizational and multi-tasking skills. The coordinator will be responsible for maintaining high levels of customer service, ensuring effective communication across all levels of the company, and executing clear and constant communication between departments, customers, and subcontractors. The coordinator will assist Procurement Managers by acting as the primary contact between All County Paving and its customers, managing the flow of information and documentation throughout the project lifecycle. This includes creating project files upon receipt of signed contracts, gathering original paperwork, and creating work orders for the sales department. Attention to detail is paramount, as the coordinator must verify that all contact information is correct on all paperwork and ensure that all necessary documents are filled out and sent to customers when permits are required. Additionally, the National Project Coordinator will be involved in permit processing, preparing and submitting permit packages to the permit coordinator, and following up on plan review statuses. Familiarity with different permitting municipalities and knowledge of Public Works/Municipalities is considered a plus. The role may also involve miscellaneous tasks such as answering phones, filing, faxing, and copying as assigned. Bilingual skills are advantageous but not mandatory. The working hours for this position are Monday to Friday, from 8:00 AM to 5:00 PM, and it is classified as a non-exempt hourly position.

Responsibilities

  • Manage multiple projects and coordinate with project managers and sales consultants.
  • Create and maintain project files upon receipt of signed contracts.
  • Gather original paperwork and create work orders for the sales department.
  • Verify contact information on all paperwork for accuracy.
  • Fill out and send required documents to customers for permit processing.
  • Prepare and submit permit packages to the permit coordinator and follow up on plan review status.
  • Assist in communication between departments, customers, and subcontractors.
  • Handle miscellaneous tasks such as answering phones, filing, faxing, and copying as assigned.

Requirements

  • Experience in project scheduling within a construction environment.
  • Outstanding organizational and multi-tasking skills.
  • High level of customer service skills.
  • Exceptional follow-through skills.
  • Excellent proficiency in Microsoft Word and Excel.
  • Ability to communicate effectively across all levels of the company.
  • Experience working with different permitting municipalities.

Nice-to-haves

  • Bilingual skills are a plus but not required.
  • Knowledge of Public Works/Municipalities.
